
Unit Program Coordinator

- Support 9th AF A8 Directorate in three major areas. Client Support Administration for Information Technology, Staff Task Management and Unit Program support.
- Configure user software, modify software configuration and perform basic configuration management functions in support of the A8 directorate.
- Support functions include providing limited software application assistance for commonly used office automation and performing initial system diagnostics and trouble-shooting of systems.
- Coordinate any IT support issues with all agencies (e.g., customers, Functional System Administrator (FSA), Communication Focal Point (CFP), etc.) when necessary.
- Review organization’s needs for computer resources on an annual and as needed basis
- Validate computer equipment requirements and unit Equipment Custodian (EC) requests as well as assist EC with hardware and software inventories
- Promote user awareness concerning unauthorized or illegal use of computer hardware and software in support of Operation Security (OPSEC)/Communication Security (COMSEC)
- Report security breaches to the Information Assurance Officer and distribute security information to the A8 staff
- Common Access Card Pin Reset (CPR) Trusted Agent USAF Public Key Infrastructure (PKI)
- Compile, format, and check quality of recurring information updates for meetings, VTCs, and reports
- Provide print outs of presentations as required
- Maintain organizational email account and archival file structure. Daily check the account for incoming emails and then distribute to the correct individual or division, or take action directly to resolve the issue
- Assists staff with setting suspenses and/or prioritizing work for all A8 staff personnel to support the commander/director
- Assists with conducting reviews and briefings on all facets of management functions with recommended courses of action for resolving problems
- Provides advice and guidance to staff in the organization of administrative, clerical, and procedural requirements. Assists other clerical staff in locating and selecting the appropriate guidelines, references, and procedures for application to specific cases
- Updates tracker or suspense files for unclassified documents as required
- Disseminates information concerning new or changed procedures/regulations
- Assists with determining and meeting administrative needs based on administrative support program requirements
- Assists A8 staff on changes in administrative policies and procedures. Identifies and implements processes which can be improved or made more efficient through application of automated technology or other methods. Trains, orients, direct, and oversees the duties and work products of A8 POCs
- Assists with ensuring unit programs comply with regulations, laws, policies, and directives
- Assists with managing programs to include task management, Government Travel Card (GTC) program, health care program, fitness program, Government Purchase Card (GPC) program, safety program, Automated Data Processing Equipment (ADPE) accounts, Special Awards & Trophies, security program, and supply program
- Advises the director on policies and executes directives through the establishment of procedures for associated programs. Assists with ensuring assigned members are aware of individual requirements established by law and/or policy
- Monitors trends of programs and advises commander of their current evaluation ratings
- Attends required training, meetings, and functions as related to the prescribed unit programs
- Assists the director in the performance of administrative functions associated with the supervision of military and civilian employees (i.e. coordinating personnel assignments, promotions, and performance evaluation products, etc.). Assists with providing evaluations and validation of manpower requirements and participant qualifications for operational/contingency planning and exercises
- Monitors personnel action requests, tracks personnel, manpower, and training transactions as documentation flows through the directorate and provides status reports to management
- Monitors the timeliness, accuracy and transmittal of performance reports in accordance with established guidelines. Coordinates with appropriate offices and resolves conflicts affecting organizational positions
- Assists with developing, establishing, updating, and maintaining office procedures and records/files of various types to ensure effective and efficient operation of the office
- Assists project officer planning command sponsored events ensuring proper protocol is followed
- US Citizenship
- An Active Secret Security Clearance
- Possess DoD 8570 IAT Level 1 certification and maintain certification
- Three (3) years of experience in PC tech and desktop support, ability to multi-task, work independently and as part of a team, trouble shoot methodologies and solve issues and communicate verbally and written with customers in a high operations tempo environment
- Three (3) years of experience with DISA MIAP program and Supply Electronic Document Control program
- Three (3) years’ experience working with tasker management system at a component staff or higher
- Four (4) years of experience in Microsoft Office applications/email systems or the equivalent
- High School Diploma/GED
- The ability to travel up to 10% of the time.
