
Client Compliance Coordinator

- Manage and maintain client compliance databases and documentation
- Coordinate onboarding of new clients, including intake of billing requirements and compliance documentation
- Monitor adherence to client-specific billing rules; update templates and billing instructions as needed
- Liaise between legal teams, billing partners, and eBilling teams to ensure proper implementation of billing formats
- Assist with invoice preparation, submission, and error resolution across multiple platforms (e.g., CounselLink, Serengeti, Legal Tracker)
- Generate compliance reports and contribute to client audits and internal reviews
- Collaborate with attorneys, billing staff, and client contacts to resolve discrepancies
- Assist Billing Coordinators with performing prebill edits, creating and editing bill drafts, and processing invoices & write-off's
- Maintain and update special billing arrangements related to billing attorneys' clients and matters (e.g., Fixed Fee amounts)
- Review billing support documentation and verify descriptions, amounts, rates, client/matter date and other billing requirements
- Assist Legal Secretaries with updating and maintaining documentation related to billing attorney's clients and matters
- Provide administrative support as needed (e.g., providing client invoice copies for auditing purposes, pulling disbursement back up, filing documents in iManage)
- Perform other job-related duties and projects as assigned
- 2-4 years of relevant legal billing compliance experience required
- Experience in a law firm or professional services environment required
- Proven track record of providing superior client service while building a strong rapport at all levels of an organization with both internal and external clients
- Ability to work under pressure and demonstrate flexibility with competing demands of internal and external clients
- Must be a strategic, analytical thinker with strong critical thinking and problem-solving skills
- Excellent time management, organizational, interpersonal skills
- Strong written and verbal communication skills
- Must be detailed oriented with the ability to readily identify issues that could impede processes while taking the initiative to provide solutions
- Strong technical proficiency in a range of software, including Microsoft Office, e-billing software and document management systems
- Ability to work independently in a fast-paced environment with minimal supervision within a team-oriented environment
- Must be able to adhere and comply to the Firm's Agile Working Policy which requires employees to work from the office at least three days each calendar week
- Must be legally authorized to work in the United States
