A Life Plan Community is seeking a Front Desk Administrator, a vital role within the Sales & Marketing department. This position is integral in aiding the sales team and bolstering marketing initiatives. Responsibilities include handling inquiries from prospective residents, managing the marketing calendar, coordinating events, and overseeing the application process for new residents.Duties & Responsibilities:Customer Service and Administrative Support:
  • Provide courteous service and guidance to residents and prospects.
  • Respond to calls and emails from prospective residents.
  • Process departmental invoices, payments, refunds, and expense reports.
  • Organize and distribute reports (weekly, monthly, new move-in).
  • Manage meeting arrangements, including scheduling and catering.
  • Oversee mass marketing mailings and manage expense reports.
  • Handle mail distribution and preparation.
  • Input new and potential prospects into the CRMS.
  • Maintain organized digital and hard copy records.
Sales Support:
  • Assign new prospects to sales counselors.
  • Provide initial sales information at events and to walk-ins.
  • Coordinate and manage marketing events.
  • Maintain inventory of sales and marketing materials.
  • Collaborate with the Marketing team on scheduling.
Resident Experience Support:
  • Manage model spaces for temporary occupancy.
  • Coordinate medical interviews and assessments for prospective residents.
  • Prepare closing files and contracts for new residents.
  • Create welcome packages for new residents.
  • A minimum of a high school diploma, with an associate or bachelor’s degree preferred.
  • At least 4 years of Administrative Assistant experience in a dynamic, fast-paced environment.
  • Advanced skills in MS Office Suite, including Word, Excel, and PowerPoint Salesforce
