ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Fulfill client contracts to ensure they are maximized in billable hours by maintaining 95% of contracts and contract hours are fulfilled on a monthly basis and clients maintain consistent DIs, Case Supervisors, and Parent Consultants throughout contract.
- Ensure Case Supervisors, Direct Interventionists, and Parent Consultants meet minimum billable hours per role as follows:
- Case Supervisors - 32.5+ Billable Hours per Week (6.5 out of 8 hours)Direct Interventionist - 15+ Billable Hours per Week (7.5 out of 8 hours) Parent Consultants - 30+ Billable Hours per Week for Full-Time PCs (7.5 out of 8 hours)
- Data Entry will be accurate and up-to-date by ensuring correct billing code designations are applied to all appointments. Maintain with 95% accuracy.
- Track Cancellations and Make-Ups for reporting purposes. Discuss consistent cancellation patterns with Clinical Director as needed.
- Work with Clients to find agreeable service times based on client and therapist availability.
- Responds to staff and client phone calls in a pleasant and resolution-focused attitude in a timely manner (within 24 hours).
- Verifies that any changes in schedule requested by staff falls within appropriate guidelines. Contact all appropriate staff to notify them of changes affecting their schedules and appointments no less than 24 hours in advance.
- Schedule staff (as much as possible) to localized regions to reduce travel time and maximize efficiency.
- Report all errors, inefficiencies, or discrepancies in scheduling to the Clinical Director for proper revisions in order to maintain an up-to-date working version of all Scheduling requirements
- Other duties as assigned
High school diploma or general education degree (GED), prefer two years specialized training with staff scheduling, at least two years experience working within a business, mental health or educational setting.
LANGUAGE SKILLS
In the English language, the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write emails, business correspondence, and communicate by phone. Ability to effectively present information and respond to questions from groups of managers, clients, co-workers, and customers alike.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to use standard calculator. Advanced use of computer spreadsheet programs and word processing software.REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk and hear; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to climb or balance and stoop. The employee must regularly lift and/or move up to 20 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close, distant, and peripheral vision, color and depth perception, and ability to adjust focus.

The work environment for this position is a basic office environment. While performing the essential functions of this job, the employee may be exposed to clients who may ask inappropriate personal questions, display socially unacceptable personal behaviors, use profanity and sexually explicit phrases, make insulting remarks regarding appearance, age, sex, or race, and exhibit defiance, dishonesty, and assaultive or self destructive behaviors. The employee is occasionally exposed to outside weather conditions.
