- Working knowledge of Microsoft Office Suite, with a focus on Access and Excel.

- Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

- Must be able to work independently and as a team member in a small office.
- Working knowledge of office administrative procedures and knowledge standard office equipment.
- Ability to handle confidential and non-routine information and explain policies when necessary.
- A high school diploma or equivalent is required.
- Associates degree, business school certification, and/or some college preferred
- A minimum of 6 months of office experience is required. In lieu of experience, college education will be accepted.
- Or other equivalent combination of education and experience.
- 2 years of computer software use in an office setting is preferred.
- A Valid Driver’s License is required.
- Organize and prioritize large volumes of information and phone calls. This includes but is not limited to:
- Sorting and distributing all incoming mail, opening mail for the General Manager
- Responding to regularly occurring requests for information
- Answering phones as receptionist, taking messages, and fielding/answering all routine and nonroutine questions
- Manage accounts receivables (AR) for the office. This includes making customer calls, sending correspondence, documenting information in company system, reviewing AR reports and communicating with the General Manager regarding past due accounts.
- Maintain accounts payable (AP) for the office. This includes processing invoices,
- Ordering office supplies as needed.
- Update and maintain commonly used databases, including contract/client information, structure and signage information, client applications, new contracts, and pictures.
- Generate various reports, including monthly and annual expenses, tracking reports, etc.
- Responsible for ordering Logo plates.
- Assist with collections, including calling clients and sending letters.
- Process accounts payable and expense reports.
- The primary work environment for this position is an office.
- The physical demands for this position include light lifting, pushing, reaching, seeing (with a focus on reading and acuity), sitting more than 50% of the time, standing, stooping, talking, turning, and walking.
