Job Description:Job summary:The Operations Support Specialist will be responsible for a wide range of administrative, inventory management, customer service, and technical support duties. This is a critical role that ensures the smooth and efficient operation of the office and supply chain. The ideal candidate is a proactive and detail-oriented individual with strong multitasking abilities and a commitment to maintaining accurate records.Key responsibilitiesAdministrative support
  • Answer and direct phone calls in a professional and courteous manner, serving as a primary point of contact for internal and external inquiries.
  • Maintain organized filing systems, both digital and physical, to ensure efficient document retrieval and data management.
  • Assist with scheduling and calendar management for key personnel and meetings.
  • Perform data entry and maintain accurate records across multiple platforms, ensuring information is up-to-date and reliable.
Inventory
  • Receive and process incoming inventory shipments by verifying contents against purchase orders and updating stock records.
  • Coordinate with suppliers to manage stock levels, place orders, and track deliveries to prevent shortages or overstock.
  • Prepare reports on inventory status and discrepancies, highlighting trends or issues for management review.
  • Maintain accurate inventory records, conducting regular stock counts and audits as required.
Customer and technical support
  • Respond to customer inquiries via phone, chat, or email, providing timely and helpful information or resolving issues.
  • Diagnose and resolve technical issues related to software and hardware, guiding users through troubleshooting steps or escalating as needed.
  • Maintain accurate records of all customer interactions and technical support issues in the company database.
Qualifications and skillsRequired
  • Proven experience in an administrative, clerical, or customer-facing role.
  • Strong organizational and time-management skills with a high degree of accuracy and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and data entry programs.
  • Basic technical knowledge of software and hardware with the ability to troubleshoot common issues.
  • Strong problem-solving and critical-thinking abilities
Preferred
  • Experience with inventory management software and procedures.
  • Previous experience in a support role
