This role provides high-level, confidential support to the Executive Vice President, General Manager, and other senior leaders.The coordinator will serve as a vital link between our U.S. and Japan-based teams, ensuring smooth communication and coordination across cultures and time zones. This position requires exceptional organizational skills, cultural awareness, and the ability to handle sensitive information with discretion.ResponsibilitiesIn this role, you will manage executive calendars and coordinate complex travel arrangements, ensuring seamless scheduling and timely communication.You will be responsible for processing and reconciling expense reports through Concur, maintaining confidential records, and supporting the implementation of visitor management systems.The position also includes contributing to corporate events, VIP visits, and community engagement initiatives, while providing backup assistance to the Senior Executive Assistant as needed.As the primary bilingual liaison, you will provide translation and interpretation in English and Japanese, bridging cultural and language differences to support business operations.QualificationsThe ideal candidate will have a minimum of a high school diploma or GED, though a bachelor's degree in Business Administration is preferred.At least three years of executive-level administrative experience is required.Candidates must be professionally fluent in Japanese and English, translate documents, and interpret conversations accurately.Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, and prior Concur expense reporting experience are required.Strong organizational skills, attention to detail, time management abilities, and the ability to handle confidential information are essential.Success in this role also requires cultural sensitivity, excellent communication skills, and the ability to thrive in a fast-paced, international environment.Physical and Compliance RequirementsThis office-based role requires routine computer and administrative tasks, along with the ability to occasionally lift up to 10 pounds. Applicants must demonstrate professional proficiency in reading, writing, and speaking Japanese and English.
