- Schedule appointments and coordinate care in accordance with VHA Directive 1230 (Outpatient Scheduling and Process Procedures) and VHA Directive 1232 (Consult Management)
- Provide excellent customer service to Veterans, their families, and VA staff, demonstrating the VA's core values of Integrity, Commitment, Advocacy, Respect, and Excellence (ICARE)
- Answer phones within 5 rings and follow appropriate telephone etiquette, collecting adequate information before transferring calls
- Coordinate and authorize Veteran care with community providers that the VA does not supply or cannot supply in a timely manner
- Validate and update patient demographic information, including phone numbers, addresses, emergency contacts, and insurance information
- Properly process community care consults via HealthShare Referral Manager (HSRM) and Provider Profile Management System (PPMS) systems
- Ensure patient information is properly integrated into Computerized Patient Record System (CPRS) and the Veterans Health Information Systems and Technology Architecture (VistA)
- Update no-shows within 24 hours of appointment and ensure proper follow-up
- Assist with VA Point of Service VetLink operations and report any system malfunctions promptly
- Maintain privacy and confidentiality for patients, families, medical records, and electronic information in accordance with HIPAA regulations
- Proficiently use VA software systems including CPRS, VISTA, CTM, VetLink, HSRM, PPMS, and Microsoft Office applications
- Participate in team huddles and collaborate effectively with healthcare team members
- Ensure all patients are identified with two appropriate patient identifiers per policy
- Monitor incoming and outgoing faxes and mail according to HIPAA standards
- Complete all mandatory annual training requirements and maintain compliance with VA policies and procedures
- High School diploma or GED equivalent required
- Oral and written proficiency in English
- Basic computer skills with proficiency in Microsoft Office products (Excel, Word, Outlook & Teams)
- Type at least 50 WPM
- Basic medical terminology knowledge
- Ability to successfully undergo a Government-sponsored background investigation (US Citizenship required)
- Have no health or physical disability restrictions that interfere with the performance of assigned duties
- For remote positions: Must live within 50 miles of the VA Montana Health Care System
- For remote workers: Must have a dedicated, private workspace suitable for handling sensitive information
- Prior experience in healthcare or medical office settings
- Experience with VA systems such as VISTA, CPRS, HSRM, or PPMS
- Experience with scheduling medical appointments
- Familiarity with The Joint Commission (TJC) standards
- Experience working in Veterans healthcare
