This role reports to the Senior Office Manager and is part of the Facilities & Security team. The position is responsible for the smooth execution of in-office events and experiences, while also assisting with day-to-day office operations, facilities coordination, and administrative duties.This role works closely with the People Experience (PX) team to execute cultural events outlined in the PX Community Calendar and contributes directly to the overall employee experience and workplace satisfaction.Key ResponsibilitiesOffice & Facilities Operations
- Assist the Senior Office Manager with daily operations and workplace experience needs
- Support office supply and inventory management (kitchen, equipment, event supplies)
- Receive and distribute mail, packages, and deliveries
- Prepare and manage outgoing shipments
- Maintain organization and cleanliness of shared spaces, breakrooms, and supply areas
- Serve as backup for visitor check-ins and general front desk support
- Coordinate minor maintenance requests and building-related needs
- Participate in facility-related projects, such as workstation moves or office reconfiguration
- Support adherence to office policies, safety guidelines, and wellness standards
- Lead execution of in-office employee events based on the People Experience Team's Community Calendar (e.g., birthdays, holiday celebrations, employee appreciation)
- Coordinate logistics for event setup, catering, supplies, décor, and cleanup
- Manage day-of-event execution including AV, signage, and scheduling
- Partner with People Experience for event planning and receive creative content (flyers, messaging, branding)
- Maintain organized inventory of event-related materials and reusable decor
- Support offsite or large-scale events in collaboration with PX and the Senior Office Manager
- Attend monthly planning meetings with PX to align on upcoming community and culture initiatives
- Liaise with IT, security, and external vendors to ensure successful event and office operations
- Maintain relationships with service providers (catering, printing, rentals, etc.)
- 2+ years in office coordination, facilities support, or event logistics
- Experience supporting or collaborating with senior managers a plus
- Strong attention to detail and ability to manage multiple priorities
- Excellent interpersonal and communication skills
- Proficiency in Google Workspace, Slack, Zoom, and scheduling tools
- Ability to be onsite full time and physically assist with event setup as needed
