Job Description:SummaryThe Academic Affairs Coordinator is responsible for playing a key role in coordinating continuing medical educational activities within the system and in assisting clinical educators, learners, and partner institutions in promoting the education strategy of MyMichigan Health. Reports to the Manager of Medical Staff Services, with a dotted line to the Chief Academic Affairs Officer. Strong partnership with the Academic Affairs Specialist and Continuing Medical Education Specialist.Responsibilities(30%)*Serves as a point of contact for learners, clinical educators, and partner institutions; assists in coordination, scheduling and efficient allocation of educational resources and maintaining registry of learners and clinical educators and teaching sites within the system and ensures compliance of learners with relevant Health System policy.(25%)*Assist with maintaining enduring materials (on-demand CME) in EEDS. Monitor expiration of materials and renew enduring materials when appropriate. Review attendance and promote and facilitate electronic delivery of educational sessions through electronic software.(15%)* Assist with maintaining CME database (EEDS), including but not limited to entering attendance, building CME activities, pulling evaluation reports, and providing CME certificates or transcripts to providers when requested. Collect feedback from participants to assess the effectiveness of CME program. Work with CME specialist to identify areas for improvement in program.(10%)* In collaboration with the Academic Affairs Specialist and with partner institutions, assists in developing programs for training, support, and recruitment of clinical educators.(10%)* Serves as a point of contact for communication and liaison with partnering institutions and its learners to identify issues or concerns related to the learning environment within the health system.(5%)* Develop materials (Newsletter, emails, invites, flyers, etc..) to promote CME events. Promote CME programs to the target audience through emails, newsletters, flyers, and websites. Assist with maintaining CME calendar and website for program visibility. Serve as a point of contact for healthcare professional seeking CME opportunities.(5%)* Attend and assist with in-person CME events as needed. Projects as assigned based on needs of department.OTHER DUTIES AND RESPONSIBILITIES:The duties listed are in collaboration with or as delegated by the Academic Affairs Specialist or Continuing Medical Education (CME) Specialist:Institutional (Internal/System)Maintain central inventory/record of teaching activities system?wide and at each site, including faculty/instructors and clinical sites.Institutional (External Partners)Acts as a point of contact for partner institutions to ensure proper affiliation agreement compliance and meet institutional/program needs. May assist clinical partners in meeting or exceeding accreditation standards (LCME, ACGME, CLER, etc.).LearnersActs as a point of contact for current and potential learners within MyMichigan Health, including centralized receipt and vetting of applications (in collaboration with Academic Affairs Specialist and partnering institutions) and scheduling. Working as needed with the Workforce Development Office and with appropriate contacts at applicable subsidiaries. Maintains a current central registry of learners within MyMichigan Health. Assist in identifying educational needs and helping to support existing programs or developing new programs.Clinical Educators (faculty)Promote initiatives and encourage engagement to foster a culture of teaching and learning in the system. Works with clinical educators and their staff to facilitate participation in teaching activities. Coordinates clinical educator training and development. Facilitates communication and any needed credentialing related to academic recognition, between clinical educators and partner institutions. Provide support to clinical educators through learning resources and assistance with evaluation and learner challenges.
