Job Description:Job Title:Director of Building and GroundsJob Summary:The Director of Building and Grounds provides leadership, direction, and supervision to thecustodial and maintenance departments to ensure that students and staff are supported by aphysical environment that is safe, clean, well-maintained, and conducive to teaching andlearning. This position is also responsible for planning, coordinating, and overseeing facilityimprovement and construction projects across the district, ensuring they are completed ontime, within budget, and in alignment with district goals and safety standards.Qualifications:High School Diploma or equivalencyValid Driver’s LicenseMust have access to transportationFive or more years of responsible experience in facilities maintenance, with three or more years of supervisory experience, or a combination of education and experience commensurate with the requirements of this positionEvaluation:The performance of the Director of Building and Grounds will be evaluated at least annually by the Superintendent or Designee.Reports to:Chief Financial OfficerSupervises:Assistant Director of Building and GroundsLead Custodial and Maintenance SupervisorsHead Custodial StaffCustodial StaffMaintenance StaffBuildings and Grounds SecretaryTerms of Employment:This is a 12-month IMRF position with a starting salary range of $95,000 - $120,000 as established by the Board of Education.Compensation and Benefits:The compensation package for the Director of Buildings and Grounds includes comprehensive medical, dental, and vision insurance and a $300,000 term life insurance policy. The position offers paid vacation, sick, and personal leave days annually, with additional options for remote work days and tuition reimbursement. The Board provides a monthly allowance for cellular phone and travel expenses, a yearly wellness allowance, and membership dues for up to two professional organizations.FLSA Status:ExemptDuties and Responsibilities:
  • Assumes the responsibility for the District buildings and grounds, including, but not limited t,o the following: plant maintenance, plant operations, plant security, property protection, property management, warehousing and supplies management, custodial and maintenance personnel, construction management, and educational facilities planning.
  • Develops and maintains the Operation and Maintenance Fund Budget.
  • Maintains current with governmental regulations and industry practices regarding fire, safety, environment, and building access codes.
  • Establishes and administers district schedules, including vacation and summer schedules, and other procedures for the regular, ongoing custodial and maintenance care of all school and office facilities of the District.
  • Oversees the entire Buildings and Grounds Department with direct supervision of the Lead Supervisors and the Building and Grounds Secretary.
  • Meets weekly with Lead Supervisors to ensure a clean, safe, and healthy environment conducive to learning and working.
  • Guides and equips the Lead Supervising staff with the cross-training, knowledge, and experience that may include, butare not limited to, computer programs for operating the District’s HVAC, lighting, and security systems
  • Provides and conducts cross-training during in-service days, to provide more flexibility, to learn new skills, and to increase work productivity.
  • Directs and coordinates the development and implementation of maintenance and custodial projects.
  • Recruits, interviews, and completes all required hiring practices to recommend candidates for employment.
  • Provides new employee orientation and training.
  • Conducts observations and completes the required evaluation of employees.
  • Completes required practices for employee discipline and recommendations for dismissals.
  • Visits buildings for an average of two (2) hours a day, providing onsite leadership and supervision for both day and night shift maintenance and custodial staff in all district buildings.
  • Inspects all school buildings, grounds, and facilities to ensure their cleanliness and safety by continuously touring buildings.
  • Provides the Chief Financial Officer and Superintendent with weekly communication of topics that may include observations, corrective measures, and recommendations from building visits.
  • Prepares a bi-weekly written report to the Chief Financial Officer and Superintendent, which will be included in the Superintendent’s weekly update to the Board of Education.
  • Determines, assigns, and manages overtime based on operational requirements.
  • Maintains accurate attendance reports in order to prepare and assist the Building and Grounds Secretary with payroll for the Building and Grounds Department.
  • Recommends the purchase of necessary services, equipment, and supplies.
  • Prepares reports and directs actions as required to comply with codes and regulations.
  • Collects and analyzes data to identify needs and evaluate program/product effectiveness.
  • Adheres to and maintains all required aspects of the Illinois Green Cleaning Schools Act.
  • Defines, supervises, and inspects the work of outside contractors and verifies the fulfillment of such contracts before recommending payments.
  • Monitors, through the district software program, a preventative maintenance program for the District’s buildings and grounds.
  • Monitors, through a spreadsheet, a running inventory of materials, supplies, and equipment for custodial and maintenance use.
  • Coordinates, monitors, and keeps accurate monthly records of district vehicle and equipment maintenance, repair, and care.
  • Directs the preparation and maintenance of the grounds, playing fields, and other facilities for athletics, other school activities, and community use.
  • Coordinates snow and ice removal efforts at District properties.
  • Communicates and collaborates with building principals weekly to ensure that facilities are properly cleaned and maintained.
  • Assumes the responsibility of on-call duty, 24 hours a day, in case of building emergencies.
  • Performs such other duties and assumes responsibilities as the Superintendent and Board of Education may assign.
Required Knowledge, Skills, and Abilities:
  • Must demonstrate service commitment to Harvard CUSD 50
  • Must demonstrate knowledge of local, state, and federal laws related to the operations and maintenance of school facilities
  • Must have experience with cost estimation of remodeling and facilities improvement projects
  • Must have experience designing and implementing preventative maintenance programs
  • Must demonstrate knowledge of building management systems, including HVAC and fire alarm controls
  • Must have experience in overseeing an asbestos management plan
  • Must have experience working effectively with architects, construction managers, engineers, and contractors in all phases of construction or remodeling projects.
  • Must demonstrate the ability to work cooperatively and collaboratively with staff, administrators, and the Board of Education
  • Must effectively communicate ideas and information in written and oral formats to staff, administration, and the Board of Education
  • Must have diverse training skills and successful experience in the management of facilities and resources: capable of training, organizing, communicating, and managing staff and budget responsibilities
Physical Demands:The Director of Building and Grounds must be able to perform duties that require frequent movement, including sitting, standing, walking, climbing stairs or ladders, bending, stooping, kneeling, crouching, and reaching with hands and arms. The position occasionally requires lifting or moving items weighing up to 50 pounds. Work is performed in a variety of indoor and outdoor settings and may involve exposure to noise, dust, varying temperatures, and inclement weather. The role also requires the use of hands and fingers to operate tools, equipment, and controls. Visual and auditory acuity is necessary to observe work site conditions, read technical documents, identify hazards, and communicate effectively.
