Reporting to the Manager of Account Management, the Account Manager provides sales administrative support, project coordination, and customer service acting as a liaison between our sales representatives and our internal teams to deliver an exceptional customer experience from project conception through post-installation.What’s in it for you!

- Receives, processes, and manages multiple incoming orders with unique requirements and timelines.
- Controls project flow from project start through shipping phase by providing administrative direction for customers and various internal departments to ensure project is completed on schedule and within budget.
- Analyzes initial project requirements.
- Updates internal databases as project status changes.
- Maintains and archives internal and external communication for each project using NetSuite and Outlook.
- Sends maintenance and warranty packets.
- Takes part in higher level process improvements and internal projects.
- Continues to communicate directly with designers and engineers after project handoff.
- Follows up on status of samples and drawings completed during quotation phase.
- Works with Architectural Specialties Project Managers to establish large project timelines and phasing.
- Attends weekly meetings with Production and Engineering to review time sensitive projects.
- Works with Architectural Specialties Project Managers to provide problem resolution. Provides verbal and written reports with issues, implications, and potential courses of action, as required.
- Notifies internal teams of incoming projects with unique requirements to ensure the lead times are met.
- Understands customer shipping requirements and communicates with Shipping Coordinator.
- Participates in candidate interviews and represents Project Management during the hiring process.
- Trains, along with Supervisor, Project Coordination, all new hires and all new and existing representatives.
- Works with senior team members to develop improvements and to maintain department standards and processes.
- Organizes team Lunch and Learns on the subject of department reminders and new processes.
- Leads by example and provides guidance to Project Management Team.
- Leads project intake meetings and communicates next steps and timelines with clients.
- Provides subject matter expertise on product designs, as needed.
- Accepts orders and acknowledges current timelines and what to expect during the process.
- Updates customers on shop drawing status and requests additional information, as needed.
- Communicates ship dates after final order approval and gathers shipping requirements.
- Inform customers as early as possible of potential delays to the ship date.
- Communicates tracking information to customer once project has shipped.
- Provides support to assigned representatives.
- Sends bi-monthly project reports to representatives.
- Participates in showroom tours and events at the Merchandise Mart as needed.
- BA/BS degree in business, communication, or related field.
- 2+ years of work experience in sales, customer service, and/ or sales process improvement or relevant role required.
- Professional verbal and written communication skills.
- Collaborator with active listening skills.
- Demonstrates the ability to quickly adapt plans and work well in a challenging environment.
- Comfortable learning and retaining new concepts on the fly.
- Comfortable in technical, consultative-sales settings.
- Able to diffuse difficult customer situations.
- Able to manage multiple projects with attention to detail.
- Willingness to learn Architecture + Design industry specific skills.
- Proficient in Outlook, Excel, and Adobe Suite.
- Proficiency in NetSuite.
- Minimum 2+ years of work experience in sales support or inside sales preferred.
- Experience in the Architecture + Design field is a plus.
- Experience working in cloud-based CRM system preferred.
- Plant Environment – This position operates in a manufacturing setting and can be subject to extreme cold and hot temperatures; uneven walking surfaces with cords, tools, and other obstacles; intermittent loud noises; and dusty or dirty conditions. Required PPE includes Hard hat (when required), safety glasses, earplugs, steel toe/composite boots, and fall protection.
