
Facilities Meeting & Space Coordinator

- Coordinate and manage logistics for on-site and off-site meetings and events
- Ensure all meeting requirements are met using the Meeting Request Form
- Maintain conference room schedules
- Support the Facilities Meeting and Events Coordinator with company-wide events
- Schedule and manage video conferencing through platforms such as WebEx, Teams, and Zoom.
- Update and manage Confluence pages in collaboration with facilities
- Oversee and update the Administrative and Executive Team Calendars
- Assist Executive Assistants as needed
- Respond to and manage Jira tickets related to administrative, and facilities needs
- Provide backup support for front desk Access and Hospitality staff
- Perform other duties as assigned
- Work with facilities staff to support pre-reservation and desk assignments
- Update seating charts and adjust floor maps as needed.
- Address and resolve customer concerns promptly.
- Collaborate and proactively discussing zoning and workspace configuration based on needs.
- Analyze Lenel and VMS access data to identify trends and anomalies.
- Create and maintain monthly and annual traffic reports.
- Communicating with staff regarding seating changes and environment updates.
- Share access data and summaries with leadership as needed.
- Complete facilities-related service tickets (via Jira).
- Contribute to Return-to-Office (RTO) programs and related planning
- 5 years of experience in customer service, management and hospitality
- 5 years of experience with event coordination.
- High proficiency in coordinating logistics
- Ability to work well with diverse personalities
- High proficiency in oral and written communication
- High proficiency in Microsoft Word suite
- Grammatical editing and proof-reading skills
- Strong organizational skills
- Exceptional attention to detail
- Ability to solve problems and multitask
