Executive Personal Assistant - Family OfficeDivision: Domestic ManagementRef ID: R4595438322Location: New York, NY 10022Salary: $130, 000 - $160,000Schedule: Monday – Friday 9 AM – 6 PM.Benefits: Full benefits package includes medical, dental, vision, 401(k) contribution with immediate vesting, two weeks vacation, sick days/personal days, and an annual bonus.Job Summary:A private family office seeks to hire a highly- organized, detail-oriented, and amiable Executive Personal Assistant to arrange business travel, international meetings, and professional and personal calendars for multiple family members of an HNW family.The position requires collaboration with the Principal’s family, household, and office staff. EPA will be heavily involved with family logistics, especially travel, booking flights and hotels, and assembling itineraries, for the Principal, individual members of his family, the family together, and staff. The EPA will interact consistently with the female principal.This role is ideally suited to an individual who is an expert in heavy travel and multi-calendar management. This role requires keen interpersonal skills and astute relationship manager acuity.Responsibilities:
  • Manage the Principal’s business correspondence, business and personal appointments, calendar, and travel
  • Book family travel and coordinate family calendars
  • Manage multiple airline reservations, cancellations, and itineraries for Principal and family
  • Coordinate with personal assistants on holiday and event planning, card and gift lists
  • Coordinate with personal assistants and household staff regarding daily operations of the house
  • Schedule and supervise home maintenance and repair work
  • Assist with managing personal expenses, including reconciling credit cards and preparing expense reports, and coordinating with accounting/bookkeeping support as needed
  • Assist with payments and keeping records of expenses for contractors and vendors
  • Executing special requests such as personal shopping, errands, and related tasks for the Principal, family, guests, and visitors
  • Responsibilities also include liaising with the other household staff, handling errands and projects as needed, organizing family vacations, and being a true problem solver around the house.
Requirements:
  • Minimum of 5 years of related experience supporting prominent individuals; both in personal and business capacities
  • Ability to prioritize executive tasks and multi-task effectively
  • Effective communication skills, both written and verbal
  • Proficiency in all areas of Microsoft Office
  • Professional, positive outlook, curiosity, sense of humor
  • Ability to work independently and as part of a team
  • Detail-oriented with exceptional organizational skills
  • Flexibility with hours and schedule
  • Must have a valid passport
  • Valid driver’s license
  • Valid US work authorization
