As MEI USA continues to evolve and grow our business across North America, we are seeking a highly motivated individual to join our team as a Planning Specialist.You will assist with responsibilities related to schedule and calendar management for MEI USA Tech Department, including coordination with the Italian Headquarter Tech support and special projects management as required. You will report to our Planning Supervisor.Planning Specialist Responsibilities:
  • Plan, maintain and coordinate the calendar of activities for MEI Technicians from Chicago, California, and Texas Offices. Book travel arrangements for the Chicago, California, and Texas offices, following specific requirements and procedures, and constantly looking for ways to improve the travel process, efficiency, and costs.
  • Plan installation and training activities related to new orders, including direct communication with the customers and coordination with both tech department and Italian Headquarter if needed.
  • Plan the extra training activities upon request, including direct communication with the clients and the coordination with the Training Department
  • Enter the data in the calendar and coordinate the logistics related to the urgent technical assistances.
  • Define the preventive maintenance (PM) schedule with each client after the contract signature.
  • Cooperate with the planning department. supervisor for the activities related to the PM contract renewal.
  • Enter into the calendar and manage the software upgrade special requests.
  • Cooperate with the planning department supervisor and the tech department to carry out the weekly calendar update.
  • Yearly data entry of the preventive maintenance activity for the following year.
  • Answer and direct incoming phone calls
  • Handle sensitive information in a confidential manner.
  • Other duties as assigned.
Education and Other Requirements:
  • 3 years of related administrative experience, prior planning experience preferred.
  • Good written and verbal abilities.
  • Good interpersonal communication and organizational skills.
  • Good Customer Service Skills
  • Detail oriented and comfortable working in a fast-paced office environment
  • Languages: English, Spanish is highly appreciated.
  • Knowledge of Windows- based computer software
  • Bachelors degree preferably in management
