- Plan, maintain and coordinate the calendar of activities for MEI Technicians from Chicago, California, and Texas Offices. Book travel arrangements for the Chicago, California, and Texas offices, following specific requirements and procedures, and constantly looking for ways to improve the travel process, efficiency, and costs.
- Plan installation and training activities related to new orders, including direct communication with the customers and coordination with both tech department and Italian Headquarter if needed.
- Plan the extra training activities upon request, including direct communication with the clients and the coordination with the Training Department
- Enter the data in the calendar and coordinate the logistics related to the urgent technical assistances.
- Define the preventive maintenance (PM) schedule with each client after the contract signature.
- Cooperate with the planning department. supervisor for the activities related to the PM contract renewal.
- Enter into the calendar and manage the software upgrade special requests.
- Cooperate with the planning department supervisor and the tech department to carry out the weekly calendar update.
- Yearly data entry of the preventive maintenance activity for the following year.
- Answer and direct incoming phone calls
- Handle sensitive information in a confidential manner.
- Other duties as assigned.
- 3 years of related administrative experience, prior planning experience preferred.
- Good written and verbal abilities.
- Good interpersonal communication and organizational skills.
- Good Customer Service Skills
- Detail oriented and comfortable working in a fast-paced office environment
- Languages: English, Spanish is highly appreciated.
- Knowledge of Windows- based computer software
- Bachelors degree preferably in management
