There are 29 Diocesan elementary schools and 6 Diocesan high schools throughout our Diocese.Job Description:POSITION TITLE: Office SecretaryDepartment: Immaculate Conceptino Catholic SchoolGrade:Supervisor: Office Manager/PrincipalI. PURPOSE AND SCOPE:Under the supervision of the principal, this is a person of faith who strives to achieve the goals of Catholic education, assumes responsibility for the front office management, maintains detailed and accurate records as required by the school, and establishes positive school-community relationships.II. ESSENTIAL JOB FUNCTIONS (including but not limited to):Assists in the front office and provides general secretarial support:
  • Greets parents and visitors
  • Answers phones and professionally and courteously answers questions
  • Monitors outside access to the campus, including deliveries
  • Records daily attendance in the digital management system and works with parents to reconcile any issues or confirm excused absences.
  • Ensure accurate attendance accounting, resolving attendance related issues, conveying attendance related information to appropriate parties, and providing general clerical support, information and/or direction as needed.
  • Oversees the school calendar and acts as a liaison to the parish office to ensure coordination of events
  • Assists with records requests
  • Maintain confidential records and files for student information
  • Update spreadsheets and information
  • Assist in ordering testing materials, book orders, and office supplies
  • Assists with school safety drills
  • Make sure the school runs smoothly day to day
Communication and Collaboration:
  • Establish and maintain open communication with teachers, administrators, and substitute teachers
  • Notify teachers of substitute assignments and provide necessary information about the daily schedule, lesson plans, and other relevant details
  • Conduct orientation sessions for new substitute teachers, providing information on school policies, emergency procedures, and classroom expectations

  • Must maintain appropriate grooming and dress at all times as stated in the faculty handbook
IV. MINIMUM QUALIFICATIONS
  • High School/ GED
  • One year work experience in similar position
  • Received Safe Environment Training and signed the Code of Conduct
FULL TIME-Up to 40 hrs per weekSalary depends on Experience.
