Workplace Location: Los Angeles – Academy MuseumThis position will play a critical role in the Museum’s loans and exhibitions registration programs. The ideal individual is highly organized, efficient, able to multi-task and prioritize, communicate effectively, and possess leadership skills.This is a limited-term position through June 2026.Essential Functions of the Job:
  • Manage logistics for incoming/outgoing loans and in-house and traveling exhibitions (e.g., handling, packing, shipping, preparation, courier responsibilities, and condition reporting).
  • Ensure proper documentation and record-keeping are in place, following AAM standards, for loans and exhibitions (e.g., loan agreements, facility reports, insurance certificates, receipts, condition reports, and pro forma invoices).
  • Manage workflow and schedule in collaboration with other departments to ensure loans and exhibitions are delivered, installed/de-installed, and returned efficiently and safely.
  • Identify and anticipate potential issues and communicate with all stakeholders to keep projects progressing on schedule.
  • Supervise art handling and exhibition preparation of loan objects including installation, de-installation, transport, unpacking and packing of crates, and other movement.
  • Supervise filming and photography of objects or galleries.
  • Assist with maintaining record-keeping systems and procedures that promote identification and management of Museum loans and exhibitions and outgoing Library loans.
  • Manage loans and exhibitions physical files and assist with loans and exhibitions updates in our record-keeping systems.
  • Collaborate with several Academy departments to ensure proper care and management of loans and exhibitions including curatorial, exhibition preparation, conservation, and security.
  • Liaise with stakeholders, including other Academy staff, members of site-partner organizations, staff at other institutions, donors, vendors, fine art shipping companies, and members of the public.
Required Competencies:
  • A bachelor's degree in museum studies, information science, or a related degree is required. Relevant combinations of education and or experience will be considered.
  • 7+ years of experience with Museum registration is required.
  • A valid passport and driver’s license and be willing to travel domestically and internationally, as necessary.
  • Extensive knowledge of and experience with standard museum registration and collections management policies and procedures is essential.
  • Strong computer skills including experience and proficiency with relational collection management databases, word processing, and spreadsheets.
  • Excellent oral and written communication and interpersonal skills.
  • Knowledge and experience with best handling practices and preventative care for museum objects.
  • Familiarity with storing, moving, and packing artworks to museum standards.

Physical Demands:
  • Ability to sit, walk, stand, climb stairs and ladders, and move or push objects up to 30 pounds.

Exception: Medical and religious accommodations approved by the Office of People & Culture.Compensation: The expected base hourly rate for this role is $55.00.
