Job Title: Controller (Management) Status: Full-TimeDepartment: Finance and Operations Reports to: Vice President of FinanceDate Prepared: 10/31/2023 FLSA Status: ExemptPOSITION OVERVIEW: Lead the finance and accounting functions of United Way in collaboration with accounting department and the Vice President of Finance (“VPF”). Work with Finance Committee and Board of Directors on financial oversight of organization. Provide oversight to accounting department to ensure accountability and proper administration of the organization's financial affairs in conformity with applicable business and regulatory standards. Partner with VPF on strategic initiatives to improve effectiveness and efficiency of all work and provide backup relative to financial matters for the VPF as needed.ESSENTIAL JOB FUNCTIONS AND EXPECTED PERFORMANCE OUTCOMES include the following. Other duties or responsibilities may be assigned.LEAD THE FINANCE AND ACCOUNTING TEAM
  • This department has a staff of six employees for whom the Controller is the direct supervisor. Responsibilities include the support and development of this team in annual and day-to-day matters including: setting and supporting the achievement of performance goals, supervision and appraisal of ongoing performance, training, cross-training and assigning and directing work. This position is also responsible for the hiring and any needed discipline in the team, both with the support of the HR department.
Expected Outcome: Skilled, well-trained problem-solvers who know how to work well together.ACCOUNTING FUNCTION LEADMONTHLY AND YEARLY CLOSING PROCESS
  • For Monthly and Yearly Closing Process:
  • Assist, coordinate, and review the activities of the accounting staff in the month-end and yearly closing process.
  • Complete and maintain support for normal monthly journal entries and any special entries.
  • For Audits:
  • Coordinate annual financial audit (including A133 audits) and the 403b audit.
  • Prepare preliminary financial statements and related footnotes.
  • Ensure subsidiary reports and PBC schedules-prepared in house-are available on the first day of audit.
  • Prepare and file all required governmental reports (e.g. 5500's) associated with benefit plans.
  • Develop, implement and monitor internal controls to ensure fiscal integrity.
  • Maintain appropriate financial and accounting files.
  • For Accounts Payable and Receivable:
  • Oversee accounts receivable process, including receipting, posting, and statement preparation.
  • Ensure that accounts receivable status reports are provided monthly.
  • Monitor accounts payable process to ensure accuracy and adherence to policies, procedures, and controls, including review of employee travel/expense reports.
  • Control the timing of vendor payments to maximize available cash balance.
  • Maintain systems necessary for distribution of special disbursements, including combined campaigns, donor choice and allocations.
  • For Payroll:
  • Oversee bi-weekly payroll process.
  • Review payroll and related journal entries and provide back-up in the absence of Grant Accountant.
Expected Outcomes: Monthly and yearly closings are accurate and timely. Audits are completed timely, and both the Statement of Activities and Statement of Financial Position are consistent with internal statements, meaning no material adjustments are required as a result of audit findings. Accuracy of all A/R and A/P processes. Proper documentation, support, timing and adherence to policies, procedures and controls. Accurate, on-time payroll.BOARD/EXECUTIVE LEADERSHIP SUPPORT
  • Assist VPF with compiling various reporting requirements and attend the Finance/Operations, Investment and Audit Committee meetings. Serve as a resource to those Committee members as it relates to the finances of the organization.
  • Organize and lead the administration of the quarterly Investment Committee meetings.
  • Present financial information in partnership with VPF at all Committee meetings as necessary.
DRIVE OPEARTING RESULTS
  • For annual campaign:
  • Work closing with Manager, Transaction Processing relative to finance staff's work, especially distribution and eligibility of donor choice payments.
  • Assist in the creation of campaign agreements with donor companies and other United Ways.
  • Ensure that timeline is met relative to distributions of all donor choice payments. Provide support to coordinating committees of public sector combined campaigns (i.e., expense reports, designations, and distributions); participate at committee meetings as requested.
  • Participate in staff and volunteer committees responsible for evaluating donor choice and distribution policies.
Expected Outcomes: Efficient, accurate, timely donor choice distributions.INVESTMENTS/
  • Oversee investments, endowment and general portfolios in accordance with investment policy guidelines and direction from Investment Committee of the Board and outside Investment Consultant.
  • Monitor cash flow and line of credit to ensure adequate funds are available for operating needs.
Expected Outcome: Ensure cordial and effective banking relationships and accurate oversight of investments in line with directives of Investment Committee.QUALIFICATIONS
EDUCATION AND EXPERIENCE:
  • Requires a Bachelor's degree from a four-year college or university with a major or specialization in accounting and 10 + years of accounting and/or other finance experience.
  • 5+ years of non-profit preferred and grant accounting or government contracting experience a plus.
  • Demonstrated excellence in the supervision of staff.
  • A certification as a public accountant (CPA) is highly desirable.
