The Administrative Assistant is responsible for a variety of administrative duties requiring the exercise of independent judgment, initiative and ability to make decisions relative to office operations.
Essential Duties and Responsibilities
  • Assist the Program Director with budgetary and accounting responsibilities for multiple grant funded programs including tracking and maintaining budgets for all programs.
  • Assist as needed in reconciling the Statement of Accounts for all programs.
  • Assist in preparing new budgets to be submitted to the Department of Education and other funding sources.
  • Assist in obtaining data and statistics for use in the writing of grant proposals or Annual Reports.
  • Assist the Director in updating and keeping current the programs' policies and handbooks.
  • Prepare and maintain Personnel Action Forms for employees. Process payroll as needed.
  • Process, maintain and submit the monthly Vacation/Sick Leave Reports.
  • Assist with purchases for programs and staff as needed and make recommendations that will enhance the operation of the office and programs.
  • Reconcile credit card purchases for the Director on a monthly basis.
  • Assist with any and all audits by The Department of Education, The University of Texas at Arlington, or other agencies.
  • Assist in the planning and implementation of summer residential programs including reports for the Summer Food Service Program.
  • Assist with advertising, interviewing and training of employees as needed.
  • Assist in supervising clerical staff and implementing new office procedures for office staff.
  • Assist with staff travel paperwork as needed.
  • Record and distribute minutes at the Staff Meetings.
  • Submit inventory reports and purchase requisitions as required by The University of Texas at Arlington.
  • Request keys for the staff as needed and maintain annual key reports.
  • Obtain insurance for the summer programs.
  • Performs other duties as assigned.
Required Qualifications
  • High school diploma or equivalent with five (5) years of increasingly responsible administrative, secretarial or clerical experience.
Preferred Qualifications
  • Associate's or Bachelor's degree with one (1) year of upper-level secretarial experience.
  • One (1) year of supervisory experience.
  • Professional or personal experience in overcoming barriers similar to those confronting project participants.
Knowledge, Skills and Abilities
  • Ability to maintain confidentiality.
  • Possess knowledge of computers, accounting procedures, excellent oral and written communication skills, organizational skills and interpersonal skills.
  • MS office suite.
