Client Intake SpecialistNY, USATitle: Client Intake Specialist (Bilingual - English/Spanish)Location: New York, NY | Hybrid FlexibilityA leading personal injury law firm is seeking a bilingual (English/Spanish) Client Intake Specialist to be the first point of contact for individuals navigating difficult and often life-altering circumstances. This is a dynamic, client-facing role ideal for someone who is empathetic, energetic, highly organized, and detail-oriented.What You'll Do:
  • Engage with Potential Clients: Manage inbound inquiries and proactively follow up with potential clients via phone, text, and email.
  • Information Gathering: Collect and document detailed incident, injury, and case information using intake software and public resources (e.g., Google Maps, NYSCEF).
  • Screen and Assess Cases: Evaluate claims to determine merit and recommend next steps-retain, refer, or decline.
  • Educate and Guide: Clearly explain the personal injury legal process and required documentation to potential clients.
  • Coordinate and Schedule: Arrange consultations with attorneys and schedule follow-ups to build trust and streamline the intake process.
  • Maintain Accurate Records: Ensure all client communications and case data are captured accurately in relevant systems.
  • Vendor and Partner Management: Oversee call center workflows and nurture relationships with referral partners to support mutual success.
  • Collaborate Cross-Functionally: Work closely with attorneys and legal staff to ensure a seamless handoff from intake to case management.
What You Bring:
  • Fluency in both English and Spanish.
  • 5+ years of experience in intake or paralegal roles within personal injury law.
  • Exceptional communication, interpersonal, and organizational skills.
  • High attention to detail with the ability to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office, Outlook, Calendly; experience with Lead Docket or SmartAdvocate is a plus.
  • A client-first mindset, with a passion for helping others through complex processes.
