- Deliver outstanding customer service to internal team members, serving as a helpful and approachable resource while maintaining a positive, professional demeanor.
- Maintain a clean and organized office environment by overseeing the tidiness of workspaces, kitchen areas, and common spaces.
- Assist with the planning, coordination, and execution of office events, meetings, and special projects, including virtual and in-person gatherings.
- Coordinate logistics for large meetings, training sessions, and events, including AV support, refreshments, room scheduling, setup, and attendee communications.
- Provide comprehensive administrative support to senior leaders, including calendar management, travel coordination, and expense reporting.
- Prepare and manage itineraries for business travel, including transportation, accommodations, and meeting schedules.
- Handle sensitive and confidential information with discretion and professionalism.
- Monitor and restock office supplies, including snacks, beverages, and equipment.
- Receive and distribute mail and packages; scan, file, and track important documents.
- Provide general administrative and clerical support to the internal operations team, including scheduling meetings, preparing reports, and organizing files.
- Punctuality and timely attendance to external client and internal stakeholder needs.
- At least one year of experience in a related role.
- Able to lift office products and supplies, up to 25 pounds.
- Comfortable learning new technologies.
- College degree a plus but not required.
- Strong written and verbal communication skills, with the ability to interact professionally with senior leadership, team members, and external partners.
- High level of accuracy in managing documents, travel arrangements, event logistics, and office operations.
- Proficiency in Microsoft Word and PowerPoint, with intermediate knowledge of Excel.
- Strong ability to anticipate issues and take initiative to find efficient solutions.
- Proven ability to anticipate the needs of senior leadership and proactively support them with calendar management, travel coordination, and other executive-level tasks.
- Demonstrates a friendly, approachable demeanor with the ability to build strong relationships with internal teams, vendors, and external partners.
- Maintains composure and focus in high-pressure situations, demonstrating a positive and adaptable attitude.
- Comfortable navigating shifting deadlines, schedules, and priorities, and adaptable to changing office and executive needs.
- Capable of handling sensitive information with discretion and professionalism, ensuring confidentiality in all communications and tasks.
