Reports to: Development Director FLSA Classification: Non - ExemptStatus: Part-time potential Full-time Shift: TBDTHE CENTERThe Flance Early Learning Center provides excellence by educating and nurturing young children, supporting families, and strengthening community. An integral part of our mission and practice is to develop partnerships with families and community organizations that prepare and empower children to embrace learning, a strong sense of self, and social connection as essential tools for growth, achievement and kindergarten success.Overall ResponsibilityThe Event and Volunteer Development Specialist will lead our community engagement initiatives and coordinate meaningful events that support our mission of providing exceptional early childhood education. This role combines event planning with volunteer program development and hands-on oversight to strengthen community partnerships and enhance our impact on young learners and families.Interactions
  • Coordinate with external event consultants to coordinate tasks and deliverables
  • Staff all events, ensuring positive experience for all participants
  • Build and enhance Flance's volunteer program through the recruitment of new volunteers both individual and corporate
  • Develop and publicize volunteer opportunities across the organization and community
  • Maintain comprehensive volunteer database with accurate contact information and engagement history
  • Staff volunteer activities and provide hands-on support during volunteer events
  • Update and maintain volunteer materials including handbooks, orientation guides, and training resources
  • Track and record volunteer hours for organizational dashboard and reporting purposes
Implementation
  • Carry out tasks related to event implementation from planning through completion
  • Maintain and update donor databases using Constant Contact and Little Green Light development software
  • Process and send all thank you letters and correspondence related to fundraising activities
  • Staff development and communications events, providing administrative and logistical support
  • Run monthly reconciliation reports to ensure accuracy of donor and financial data
  • Support development team with database integrity and donor relationship management
Planning
  • Coordinate, plan and lead internal and external events for Flance Early Learning Center
  • Create comprehensive workplans and event timelines to ensure successful execution
Skills and Attributes
  • Exceptional organizational and time management abilities for coordinating multiple events and volunteer activities
  • Strong database management skills with attention to accuracy and data integrity
  • Excellent written communication skills for thank you letters and donor correspondence
  • Detail-oriented approach to reconciliation reporting and volunteer hour tracking
  • Ability to work collaboratively with external consultants and internal teams
  • Strong interpersonal skills for volunteer coordination and event staffing
  • Adaptability and problem-solving skills in event coordination environments
Environmental Factors & Working ConditionsPart-time (potential Full-time) position with occasional evening and weekend work for events; Physical requirements include lifting up to 25 pounds and standing for extended periods during events; Travel within local community for partnerships and event coordinationEducation/ExperienceRequired:
  • Bachelor's degree in Event Management, Communications, Marketing, or related field
  • Strong desire to learn new systems and data tools
  • Strong project management skills with ability to manage multiple initiatives simultaneously
  • Excellent written and verbal communication skills for donor correspondence and volunteer coordination
  • Proficiency in Microsoft Office Suite and database management systems
  • Experience with volunteer coordination and hour tracking systems
  • Strong attention to detail for database maintenance and reconciliation reporting
Preferred:
  • Prior experience in event coordination, volunteer management, or nonprofit operations preferred.
  • Experience working in early childhood education or nonprofit development
  • Familiarity with Constant Contact and development software platforms
  • Background in fundraising operations and donor database management
  • Experience with reconciliation reporting and financial data management
  • Knowledge of volunteer management best practices and hour tracking systems
