collaboration with home health and staffing agencies. This position is responsible for managing contracts, compliance
documentation, and credentialing, while maintaining accurate records within internal systems. The role oversees agency
communications, reviews invoices for accuracy, and ensures the timely receipt of nursing notes and visit confirmations. In
addition, the coordinator assists with nurse onboarding, supports recruitment and agency enrollment, and helps
negotiate competitive service rates. Acting as the central liaison between agency partners, the nursing team, and internal
departments, this position provides critical administrative, financial, and operational support to maintain compliance,
streamline workflows, and uphold the highest standards of patient care.Schedule Details
- Location: On-Site, Orange, CA.
- Hours: Monday - Friday, 8:00 AM-4:30 PM
- Prepare, distribute, and manage Professional Nursing Agreements and Business Associate Agreements with home health and staffing agencies.
- Collect, review, and maintain all required documentation from agencies, including licenses, liability insurance, accreditation certificates, and other compliance-related materials.
- Confirm and validate RN licensure, credentialing, and related records.
- Ensure ongoing compliance with contractual agreements, regulations, and company policies.
- Maintain the Ancillary Database for all AmeriPharma nurses, home health, and staffing agencies, including CPR+ and Clinician Visit Log updates.
- Request, track, and regularly update agency nurse coverage lists.
- Confirm nursing visits in the Clinician Visit Log and create delivery tickets for each confirmed visit.
- Ensure nursing notes are received and filed for every agency visit.
- Serve as the main point of contact for agency representatives to resolve invoice, billing, or service-related issues.
- Negotiate competitive rates for nursing services with new and existing agency partners.
- Research and identify new nursing agencies to meet staffing needs.
- Communicate updates from subcontracted agencies to the nursing department for alignment.
- Review invoices from home health and staffing agencies for compliance with agreements.
- Provide feedback to the Administrator regarding any discrepancies in nursing charges.
- Review and approve recruitment-related fees in accordance with company policies.
- Process invoices, nursing payroll, vendor payments, and expense tracking in the absence of Accounts Coordinators to ensure continuity.
- Assist with onboarding AmeriPharma nurses by adding them to CPR+, Alayacare, and distributing welcome emails, training materials, and policies.
- Collaborate with Directors of Nursing, Staffing Coordinators, and Accounting to ensure smooth integration of new hires and agency partners.
- Monitor, prioritize, and respond to email communications based on urgency.
- Generate and analyze reports on agency accounts and nursing operations to support decision-making and performance tracking.
- Evaluate and help resolve complex operational challenges involving subcontracted agencies.
- Work with new agencies to gather required documentation and facilitate enrollment in direct deposit systems.
- Maintain organized, up-to-date records and documentation for all contracted agencies and vendors.
- Perform additional duties and special projects as assigned to support departmental efficiency.
