
Administrative Assistant – Quality Control and Estimating

- Assist in maintaining quality records and documentation.
- Ensure all documents comply with established standards and regulatory requirements.
- Maintain and update the document control system, ensuring easy retrieval and access to current versions.
- Conduct regular audits of document control processes to identify areas for improvement.
- Collaborate with various team members to ensure proper documentation practices are followed.
- Prepare quality reports and summaries for review by management.
- Assist in the preparation of project estimates by gathering and organizing relevant data and documents.
- Support the estimating team with administrative tasks such as data entry, filing, and scheduling meetings.
- Help maintain a database of supplier and vendor information for estimating purposes.
- Prepare and process necessary documentation for quotes and proposals.
- Communicate with internal and external stakeholders to gather information required for estimates.
- Learn to interpret blueprints, specifications, and project requirements.
- Perform general administrative duties such as answering phones, managing correspondence, and scheduling appointments for the respective departments.
- Maintain office supplies and equipment for the Quality Control and Estimating departments.
- Organize and maintain both physical and electronic filing systems.
- Assist with special projects as assigned.
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience as an Administrative Assistant or in a similar role.
- Strong understanding of document control principles and practices.
- Proficiency in Google Workspace or Microsoft Office Suite.
- Excellent organizational and time management skills.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team
