- Coordinate daily calendars and administrative matters of the CEO/President to include rescheduling where needed.
- Manage and maintain CEO/President lead meetings and minutes.
- Partner with Human Resources and stakeholders on employee engagement and events.
- Serve as the liaison between senior leadership and clients.
- Create and manage regular reports and updates to internal databases and distribution lists.
- Oversee and manage travel arrangements as directed.
- Manage CEO/President incoming calls and inbox.
- Includes prioritizing responses and follow-up and organizing the inbox weekly.
- Facilitate internal communication (e.g. distribute information and schedule presentations)
- Lead the general management of the headquarters office to include directing office closures under the guidance of senior leadership.
- Further includes office beautification and safety planning.
- Organize internal communication? including direct messages from the CEO/President, presentations, and announcements as appropriate.
- Suggest more efficient ways to run the office and troubleshoot malfunctions.
- Partner with Human Resources on annual reviews and update/revisions to company policies and procedures.
- Further, provide recommendations to increase operational acumen and efficiency.
- Other duties as specifically assigned by the CEO/President.
- Pass a criminal background check and drug screening as a part of hire and continuing (random screenings).
- The ability to maintain a strong degree of confidentiality.
- Signing a non-disclosure agreement will be a part of the hiring process.
- Strong proficiency in Microsoft Office products and cloud systems to include Teams, Excel and related software.
- Demonstrate strong time and task management capabilities.
- Prioritization and attention to detail is key.
- Must be able to communicate in careful detail, clearly and effectively.
- Must demonstrate regular ‘self-starter’ practices; respond to key needs and provide ideas, suggestions timely, with the ability to prioritize tasks efficiently.
- Ability to remain composed and professional in difficult situations.
- Punctuality and attendance are hard requirements of this role.
- Three (3) plus years' experience working as a Senior Executive Assistant? Executive Administrative Assistant or any similar position.
- Five (5) plus years’ experience of managing office procedures and working with sensitive corporate information.
- Working knowledge and experience of business management systems to include QuickBooks.
- WinTeam strongly appreciated.
- Strong technical acumen and the ability to manage and learn software changes quickly.
- Associate degree in business administration, or education in project management (at least three (3) years).
- High school degree required; professional qualifications such as Personal Assistant or Secretary strongly preferred.
25%.Working Conditions: The location of this position is a typical office location with computers, fax machines and other general office equipment and furniture. The position is largely sedentary with expected walking throughout the office and ability to lift up to twenty (20) pounds.Education Requirements (Any)High School Diploma/GED
