Job Description:Position Summary: The Project Administrator schedules, plans and coordinates multi-faceted projects across all Gila River Health Care (GRHC) campuses and departments. The Project Administrator works closely with the Project Management Director and Operations Project Manager to coordinate project activities, including simple tasks and complex plans for the Project Management department. The Project Administrator will manage schedules, arrange assignments and communicate progress to all team members and stakeholders. The Project Administrator will prepare action plans, analyze risks and opportunities and gather necessary resources. The Project Administrator will work with Project Management Team and collaborate with other department project leads, support staff and vendors. The Project Administrator reviews status reports prepared by project personnel and modifies schedules or plans as required. The Project Administrator prepares project reports for management, Board of Directors, or others. The Project Administrator confers with project personnel to provide technical advice and to resolve problems.Critical Tasks:
  • Assists in the development of the annual project master schedule of all approved Gila River Health Care (GRHC) projects, while also maintaining updates of projects currently in process to completion and manage any additions or revisions as necessary.
  • Responsible for the management of project schedules for multi-faceted projects that assist with modernization of GRHC facilities, systems, and service lines. Assists the Project Management Director and Operations Project Manager in all administrative functions and processes.
  • Coordinates activities of project personnel to ensure all projects progress on schedule and within prescribed budget.
  • Schedules regular meetings and records meeting minutes.
  • Coordinates all internal construction permits for projects required by all healthcare regulatory agencies to insure that all of the chapters for the eight core Joint Commission Environment of Care requirements to manage the risks of safety, security, fire, Life Safety, hazardous materials, utilities, medical equipment, and emergency management, via the environment of care permit system.
  • Interfaces and maintains liaison with Planning Design and Construction (PDC) Director, PDC Project Manager, internal departments, general contractors, and other entities as needed, on all planning and scheduling related items and functions, including reporting requirements, project progress status, and new impacts.
  • Supports and measures project schedule progress, gathers, and assembles data for schedule and project meeting and leadership updates.
  • Defines and facilitates all project meetings to manage the project schedule and master project schedule. Assists in the review of project proposals/plans to help determine project time lines, project funding, procedures for accomplishing project, corporate staffing requirements and resources needed.
  • Assists in the review of labor and materials for any proposed change orders and manages change orders with the assistance of the PDC Director and PDC Project Manager.
  • Develop and prepare various budgets for the construction management and planning department; analyze and review budgetary and financial data; monitor and recommend approval of expenditures in accordance with established guidelines.
  • Coordinates space management and facility needs assistance as required.
  • Assists in the development of long and short-term facility and soft-space plans.
  • Communicate with other administrators, clinical staff, tribal entities and contractors to coordinate activities and programs, resolve issues and conflicts, and exchange information.
  • Responsible for the preparation of required reports to Gila River Indian Community agencies regarding facilities and related projects, and compliance with applicable codes and regulations
  • Perform related duties as assigned.

  • Follows safety standards in all aspects of performance of the above functions, reports/removes unsafe equipment and attends safety education sessions.

Required Qualifications:
  • Bachelor’s degree in business or related field or any equivalent combination of education, training, and experience, which provides the requisite knowledge, skills, and abilities for this job, may be substituted for consideration
  • Increasingly responsible experience in project administration, scheduling and management, healthcare experience preferred
  • Excellentorganizational,time-management,andcommunicationskills
  • Excellent Microsoft Office suite, particularly MS Excel, skills
  • Excellent analytical and problem-solving skills
  • Experience with Microsoft Project and other relevant construction software such as Bluebeam, AutoCAD, or other project management software preferred
  • Must be able to rely on experience and judgment to plan and accomplish goals
  • Experience in cost estimation, and interactions with design and construction teams preferred
  • Project Management Professional (PMP) certification preferred or ability to acquire within 3 years of accepting the position
  • Knowledge of planning, organization, and direction of project management and planning activities
  • Understanding of project management terms, project management process, and project planning
  • Knowledge of RFP process, contracts, and other project-related administrative requirements
  • Ability to gain a comprehensive understanding of tribal development, Land Use Planning and Zoning policies, permits, Gila River Indian Community and GRHC policy, procedures, and regulations
  • Excellent oral and written communication skills
  • Knowledgeable in budget preparation and control along with real-time tracking of expenses
  • Understanding of grant funding process
  • Understanding of the principles and practices of healthcare project management
  • Perform professional, administrative, advocacy, and liaison duties involved in the project planning process
  • Interpret, apply, and explain rules, regulations, policies, and procedures
  • Analyze situations accurately, and adopt an effective course of action
