Salary Range: $95,347 - $143,020Job Purpose:The role of Clinic Manager II is to oversee all aspects of operations for assigned clinics to ensure efficient operations and high quality services. The Manager is responsible for driving forward the IH purpose and values. This includes the departmental strategic planning, financial management, staffing, training, and process improvement. The Clinic Manager II role serves clinics of twenty or more providers or has special responsibilities in addition to those below. In particular, the Clinic Manager II role directs physicians (example: all surgical physicians/PAs) to maximize their effectiveness not only in clinic but also in the OR or in Diagnostic Imaging. To this end, Clinic Manager II works closely with the physicians and other Managers/Directors (in the surgical physician example, this would be conferring regularly with the Director of the OR to best utilize the staff and resources of the OR).Duties:
  • Responsible for daily operations of the clinics, directs Supervisors/Leads in assigning staff schedules and duties; also in arranges training and supervising performance.
  • Directs Supervisor/Leads to coordinate all leave for staff and providers including PTO requests and approved leave in accordance with Island Hospital’s policies and procedures.
  • Prepares and leads monthly Clinic staff/provider meetings.
  • Prepares monthly financial reports and develops the annual budget. Is responsible for variance reports and “course corrections” to achieve financial goals
  • Oversees supplies and equipment including the preparation of capital budgets
  • Reviews monthly production (visits and work RVUs) with providers in the department; adjusts scheduling protocols and templates as needed. Activates physicians in practice- building and outreach.
  • Manages the service line across departments (OR, DI, etc) so that the entire patient experience is efficient and effective.
  • Oversees and supports specialty care systems, including installation, training, troubleshooting, and reporting. Coordinates with IS department as needed.
  • Working with the Supervisor/Leads recruits staff in conjunction with Human Resource (HR) department. Performs employee performance reviews at the completion of the probationary period and annually thereafter.
  • Engages in coaching and performance development in compliance with Island Health policies and practices. Coordinates the progressive disciplinary process with HR
  • Manages patient complaints to ensure effective service recovery including timely communication to the patient, appropriate review of circumstances and discussion with staff, completion of reporting requirements including Quality & Risk Management as needed, and introducing and measuring performance improvement opportunities.
  • Maintains staff certification/competency documentation
  • Coordinates with outside vendors on opportunities for enhanced patient service
  • Participates in strategic planning and brings forward industry knowledge to expand service lines. Prepares and executes goals for quality measures, patient satisfaction, financial results, staff development, and provider retention.

  • Actively engages staff and providers in process improvement. Works with Island Hospital QA and Safety teams to ensure QA and compliance measures are adhered to.
  • Employee will uphold HIPAA Compliance Policies and Confidentiality Agreements.
  • Must have demonstrated ability to interact effectively with providers, staff, patients, community organizations, and visitors.
Skills/Qualifications:
  • Excellent interpersonal communication skills, both written and verbal.
  • Strong organizational skills and time management skills.
  • Must have the ability to work independently and prioritize workload.
Requirements:
  • Minimum of two (2) years of previous supervisory or leadership experience required.
  • Previous experience in an outpatient Physician practice or related setting strongly preferred.
  • Bachelor’s degree in Business Administration, Healthcare Administration, Leadership or related degree preferred.
Work Environment:While performing the duties of this position, the employee is exposed to inside environmental conditions, protected from weather conditions but not necessarily from temperature changes. The employee may be exposed to dust, pollens, pollutants, fumes and communicable diseases as related to a health care environment. The noise level in the work environment is usually moderate.Physical Demands:While performing the responsibilities of this position, the employee is regularly required to talk, and have hearing sufficient to understand conversations, both in person and in virtual meetings. The employee is often required to sit or stand for potentially long periods of time throughout the workday. Manual dexterity of hands and fingers, to handle or feel and to manipulate keys on a keyboard. The employee is occasionally required to walk, climb or balance; stoop, kneel, or crouch; lift and move up to 25 pounds and use hands to finger, handle, or feel objects, tools, or controls, and reach with hands and arm. Vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus sufficient to operate computer systems.
