- Monitor and maintain Command personnel calendars and perform scheduling/meeting coordination
- Maintain effective correspondence and ensure records are maintained appropriately
- Prepare briefs on a variety of CTO topics and distribute to workforce
- Assist with coordination of distinguished visitors
- Work with senior administrative staff to schedule and coordinate meetings and take/maintain notes
- Maintain, update and distribute consolidated Command Update Weekly Highlights
- Support data calls and other administrative actions or special requests for information
- Assist with scheduling and coordination of meetings for Command participation to include: Strategic Business Communication Meeting (SBCM), Change of Commands, Strategic Alignment reviews, and others as required
- Provide purchase support including performing market research, obtaining necessary quotes, inputting Purchase Requests through the proper channels, monitor progress, and providing updates to involved parties
- Provide travel order support to include modification of Travel Orders, generation of vouchers, and other duties
- Support conference packages and training requests to include obtaining information and documentation for completion of attendee packages, researching and completing brief sheets, obtaining approvals, coordinating with Business Office to obtain approvals
- Provide executive leadership support for offsite meetings to include: Organizing the selection & scheduling of venues & associated needs such as room block coordination, food and beverage, reserving of meeting space; additional preparations such as coordination and consolidation of presentations/read ahead materials, printing of materials, assisting with travel orders and planning/coordination of meetings, etc.,
- Communicate with all levels of the Command to ensure compliance with all program requirements and maintain strict confidentiality
- Develop, prepare and maintain program reports in Microsoft Project, Excel spreadsheets and word documents for use in supporting various programs and projects
- Support of Flag Officers/General Officers/Senior Executives in an administrative capacity
- Maintaining and organizing multiple calendars; Taking notes/meeting minutes & tracking action items; Organizing and managing senior-level visits, meetings & events; Effectively communicating with various levels of personnel; Drafting senior-level correspondence; Assisting in the preparation of briefings and information papers; Drafting, coordinating and distributing Read-Ahead material for meetings; Working collaboratively on government and/or contractor teams
- Proficiency in Microsoft Office Suite to include Word, Excel, PowerPoint, and Access is a MUST
- Excellent organizational skills, attention to detail, written and verbal communication skills, as well as time management with a proven ability to meet deadlines
- Ability to prioritize tasks and to delegate when appropriate
- Ability to act with professionalism and confidentiality
- B.A./B.S. degree from an accredited institution in business-related field preferred
- Minimum of 2 years' specialized experience in administrative support is required
- Candidates must currently possess a S. DoD Secret security clearance
