- Organize and manage the flow of project information to ensure team members have the latest documentation.
- Maintain hard copies of fully executed subcontracts for immediate reference.
- Track and manage Requests for Information (RFIs), ensuring timely submission, response, and follow-up.
- Establish and maintain a complete and up-to-date submittal log.
- Review submittals for compliance with drawings and specifications prior to distribution.
- Track submittal lead times and ensure alignment with the project schedule.
- Compile, organize, and edit site photography and video for internal use and marketing, as requested.
- Support the Project Manager in obtaining and tracking subcontractor pricing for potential change orders.
- Maintain and update the Change Order Log based on jobsite developments.
- Communicate potential cost impacts to the Project Manager in a timely manner.
- Assist the Superintendent in preparing agendas and documenting subcontractor coordination meetings.
- Distribute meeting notes and Site Instruction Summaries (S.I.S.) to the project team promptly.
- Ensure jobsite office postings, safety notifications, and subcontractor safety programs are up to date and compliant.
- Work with Foremen and Superintendents to ensure all safety documentation is maintained and accessible.
- Manage the site office supplies and coordinate restocking as needed.
- Prepare and distribute punchlist documentation during project closeout.
- Support the preparation of warranty documentation and Operations & Maintenance (O&M) manuals for owner turnover.
- Proven experience in construction management, change order handling, and subcontractor management.
- Experience with RFIs, submittals, and multi-family general contractor projects.
- Proficient in project management and coordination within commercial construction.
- Proficiency in Microsoft Office Suite for document review and control.
- Bachelor’s degree in Construction Management, Engineering, or a related field preferred.
- 1-3 years of experience in a construction project support or engineering role.
- Familiarity with construction management software such as Procore, Bluebeam, Primavera P6, and Microsoft Project.
- Proficient in Microsoft Excel.
- Understanding of construction documentation, submittal processes, and field coordination.
- General contractor experience required; experience working for a developer is a plus.
- Familiarity with Certified Payroll process is a plus.
