
Primary DVM Referral Coordinator

- Facilitate scheduling of new appointments for assigned specialty services by reviewing referral documentation, assessing urgency, and coordinating with specialty or emergency care teams..
- Ensure pDVMs are promptly informed of newly scheduled appointments through internal communication systems and calendar updates.
- Maintain detailed logs of incoming referrals, including diagnostics, history, and communication records.
- Work with primary DVMs regarding requests and routine questions.
- Provide support to departments care team to facilitate the administrative components of clinical referrals for various services.
- Provide primary care DVMs with bloodwork/test results to keep them informed regarding referred clients.
- Ensure necessary communication regarding treatment is provided timely and documented appropriately.
- Resolve any case-related concerns prior to appointment.
- Maintain assigned service(s) email or teams channel and follow departmental email triage procedures.
- Gather pertinent information to ensure clients understand the referral process and what they can expect when visiting our hospital including initial financial obligations for each department.
- Act as the primary point of contact for clients and potential clients in assigned specialty/emergency service(s).
- Perform post-procedural and post-surgical phone call follow-ups with clients.
- Identify opportunities to streamline referral intake and follow-up processes to improve client satisfaction and operational efficiency.
- Collaborate with technicians and DVMs to anticipate client needs and proactively address potential concerns.
- Friendly, outgoing, and empathetic personality
- Minimum 2 years of experience in hospitality, healthcare, or a related field
- Excellent verbal and written communication skills
- Strong multitasking and organizational abilities
- Ability to type at least 60 WPM and quickly learn medical terminology
- Comfortable working around animals and assisting with restraint if needed
- Tech-savvy with strong computer and transcription skills
