We are seeking a proactive and detail-oriented Local Operations Assistant to support our operations team and ensure accurate inventory management and efficient scheduling of deliveries and pick-ups for our customers.Position Overview:
The Local Operations Moving Company Assistant plays a key role in managing customer inventory, coordinating moving schedules, and ensuring seamless service delivery. This position supports the Operations Manager, dispatch team, and moving crews with day-to-day operational and administrative tasks.Key Responsibilities:
Administrative Assistant to the Local Operations ManagerMaintain daily timeclock punches for staff and enter job codesComplete New Hire files and run background checksMaintain detailed inventory records for customer items in storage, including entry, tracking, and updates in customer systemsCoordinate and schedule deliveries and pick-ups based on customer requests and operational capacityAssist in preparing the next days paperworkCommunicate with customers to confirm delivery and pick-up times, address questions, and provide updatesPrepare and process all move-related paperwork, including bills of lading and inventory forms for specific customersSupport dispatch operations by providing drivers and crews with detailed job informationCheck files daily to ensure all paperwork is received, all documents are signed and accurate before sending to accountingMonitor inventory discrepancies and work with the warehouse team to resolve issues promptlyAssist with general office and administrative duties, including data entry, filing, and report generationReceive office deliveriesGreet delivery drivers, current customers and potential customers warmlyAnswer Operations Department phone calls and cover office phones from 12 -1 daily
Assist walk in customers for packing supply purchases
Qualifications:
High school diploma or equivalent
Associate’s or Bachelor’s degree a plus
Must pass a comprehensive background check, not felon friendly
Experience in moving, storage, logistics, or inventory management would be helpful but not necessary
Strong organizational and attention-to-detail skills
Excellent communication and customer service abilities
Proficiency with Microsoft Office.
Customer related software will require on job training and includes but is not limited to: Mayflower System, other customer inventory/scheduling software
Ability to handle multiple priorities in a fast-paced environment
Physical Requirements:
Ability to work in an office
Monday – Friday
7:30am – 4:30pm
11:00 – 12:00 lunch hourCompensation & Benefits:
Hourly pay $18
