Our clients include various federal and state agencies, as well as organizations in the philanthropic and private sectors.Altarum's Community Health Practice Area is seeking a Administrative Specialist with education and/or experience in behavioral health to support multiple projects focused on substance use and mental health treatment and recovery, crisis intervention, and peer recovery support services.The successful candidate will provide support for large training and technical assistance (TA) projects, including notetaking for client and team meetings; scheduling and coordinating meetings, webinars, and other TA events; creating, gathering, and arranging transport for in person meetings and conferences; updating spreadsheets and tracking forms; and other project administrative duties. This position requires excellent organizational skills, verbal and written communication, and attention to detail.   • Provide administrative and coordination support to the TA team as they serve grantees across the country
  • Take notes during project meetings, synthesize key decisions made, summarize action items
  • Schedule and coordinate project meetings and training/TA activities and events
  • Assist in updating project activities and communications in the TA activity tracker to maintain a timely account of project activities across the team
  • Coordinate consultant participation in TA and assist in the arrangement and the coordination of consultant travel.
  • Assist in the coordination of the project deliverables.
  • Provide administrative support as requested for the development of TA packages, reports, memos, tools, toolkits, online learning courses, webinar presentations, and podcasts.
  • Work collaboratively with Altarum project staff and with other external TA providers.
Qualifications
  • Bachelors degree preferred or equivalent experience
  • 1-3 years of administrative coordination experience
  • Experience with coordinating and notetaking for meetings, trainings, and virtual events; scheduling internal and external meetings for project teams; and coordinating consultant agreements and travel arrangements
  • Experience coordinating and facilitating virtual meetings; experience with Zoom and Microsoft Teams preferred
  • Knowledge of Microsoft Office Applications, Smartsheet, and ability to utilize SharePoint and other online communication tools
  • Excellent critical and analytical thinking, willingness to step into new roles, strong communication skills, team focused mentality, and a commitment to continuously learning and improving
  • Interest related to Behavioral Health services.
  • Ability to travel and provide TA event coordination on-site, as needed
Logistical Requirements
  • At this time, we will only accept candidates who are presently eligible to work in the United States and will not require sponsorship
  • Our organization requires that all work, for the duration of your employment, must be completed in the continental U.S. unless required by contract
  • Ideal candidate will live in the Arlington, VA area and be able to commute around the DC Metro Area, as needed
  • If you are local to our offices in Arlington, Silver Spring, Ann Arbor, or Portland, ME, this role will be hybrid
  • Must be able to work during eastern time unless approved by your manager
