- Provide a positive, fun, and welcoming first impression to employees, customers, and vendors alike.
- Manage calendars, schedule appointments, and coordinate meetings across multiple time zones.
- Serve as the first point of contact by answering phones, directing calls, and maintaining a welcoming reception environment.
- Serve as a point of contact between executives, staff, and external partners.
- Support the planning and execution of events, meetings, and special projects.
- Perform general administrative duties such as filing, data entry, and office organization.
- Coordinate travel arrangements for team members as needed
- Run business-related errands, such as picking up supplies, delivering documents, or coordinating event-related needs.
- Support administrative processes and cross-functional coordination as assigned.
- Draft, edit, and format correspondence, reports, and presentation materials.
- Maintain oversight of department and project budgets, including expense tracking, reporting, and variance analysis.
- Develop and maintain effective partnerships with vendors and service providers.
- Coordinate and host to special events/projects and perform other related duties as required such as preparation, cleaning, and ordering.
- Coordinate and maintain office atmosphere and environment.
- Strong sense of ownership and accountability; takes initiative and follows through.

- Ability to manage and prioritize multiple tasks with strong organizational skills and keen attention to detail.
- Ability to provide on-site support through travel to multiple studio locations as required.
- Ability to maintain confidentiality with a high level of emotional intelligence and professionalism.
- Advanced computer skills with Google Workspace, project management software (Monday), Microsoft Outlook and virtual meeting platforms (Zoom, GoTo Meeting, Webex)
- Strong ability to communicate effectively both orally and in writing.
- Coordinate recognition of special occasions like birthdays and anniversaries.
- Strong background in calendar management, including scheduling across multiple time zones and shifting priorities.
- Strong problem-solving skills with a proactive approach to identifying and resolving challenges.
- High school diploma or equivalent required.
- Bachelor’s degree or a combination of education and experience preferred.
- Minimum of 3 years’ of demonstrated experience within an administrative role.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift fifteen pounds at times.
