Administrative Assistant Chief Marketing OfficerThe Administrative Assistant will provide high-level support to the Chief Marketing Officer (CMO) and the Marketing Leadership Team. This role requires exceptional organizational skills, discretion, and the ability to work independently while managing multiple priorities in a fast-paced environment. The ideal candidate will have demonstrated experience supporting senior executives, serving as a trusted representative, and embodying our organization s priorities, values, and goals.Key Responsibilities
  • Provide daily administrative support to the CMO and Marketing Leadership Team, including scheduling, calendar management, travel coordination, and expense processing.
  • Manage complex, high-volume travel arrangements, including flight, car service, and hotel bookings, and develop detailed business itineraries requiring independent research and decision-making.
  • Prepare accurate and timely expense reports in alignment with company policies.
  • Draft and edit correspondence, reports, and presentations (including town halls, business updates, and leadership communications).
  • Coordinate logistics and materials for internal and external meetings, events, and special projects.
  • Handle inquiries and requests, exercising sound judgment and follow-up with appropriate research and communication.
  • Collaborate with cross-functional partners to ensure seamless support of marketing priorities and executive initiatives.
  • Maintain confidentiality while handling sensitive information with discretion and professionalism.
  • Demonstrate flexibility and adaptability in support of the dynamic nature of the business and varying leadership working styles.
  • Serve as a strong representative of the CMO s office to executives, staff, visitors, and key partners.
  • Provide backup support to the CMO s Executive Assistant as needed.
Qualifications
  • Proven experience supporting senior leaders or executives in a dynamic, fast-paced environment.
  • Strong organizational skills with the ability to prioritize, manage multiple deadlines, and maintain attention to detail.
  • Excellent written and verbal communication skills, with experience drafting professional correspondence and executive-level presentations.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word); familiarity with collaboration tools (Teams, SharePoint, etc.) preferred.
  • Strong problem-solving skills and the ability to exercise independent judgment.
  • High level of professionalism, discretion, and integrity when handling confidential information.
  • Demonstrated ability to build relationships, collaborate across teams, and represent executive leadership effectively.
  • Flexibility and adaptability to changing priorities and business needs.
