- Calendar Management: Efficiently manage the executives' calendars, scheduling meetings, appointments, and travel arrangements while prioritizing conflicting demands.
- Communication: Serve as the primary point of contact for internal and external stakeholders, screening and responding to emails, phone calls, and inquiries on behalf of the executives.
- Meeting Coordination: Coordinate and organize meetings, including preparing agendas, distributing materials, and taking accurate meeting minutes. Follow up on action items to ensure timely completion.
- Document Management: Assist in creating, formatting, and proofreading various documents, reports, presentations, and correspondence for the executives. Maintain a systematic filing system for easy retrieval of information.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism, maintaining the highest level of integrity.
- Project Support: Collaborate with the executive team on special projects, conducting research, gathering data, and preparing reports to support informed decision-making.
- Office Operations: Oversee the day-to-day operations of the executive office, including office supply management, coordination of office maintenance, and liaising with building management.
- Relationship Management: Cultivate positive relationships with key stakeholders, clients, and partners, representing the executives in a professional and courteous manner.
- Priority Management: Identify and address urgent matters that require immediate attention while managing ongoing tasks and deadlines effectively.
- Travel Arrangements: When necessary, including flights, and accommodations.
- In Person, our Office is in Downtown West Palm Beach, FL
- Bachelor's Degree: A bachelor's degree in business administration, communications, or a related field is preferred.
- Proven Experience: Minimum of 3-5 years of experience as an executive assistant supporting C-level executives or senior management.
- Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize tasks and adapt to changing priorities.
- Communication Skills: Outstanding written and verbal communication skills, along with active listening abilities.
- Tech Proficiency: Proficiency in Google Workspace is a plus. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software. Experience with Google calendar management tools and collaboration platforms is a plus.
- Problem-Solving: Strong critical thinking and problem-solving skills, with the ability to anticipate needs and provide solutions.
- Discretion: High level of professionalism and discretion in handling sensitive and confidential information.
- Adaptability: Ability to thrive in a fast-paced environment, handling pressure with poise and maintaining a positive attitude.
- Attention to Detail: Meticulous attention to detail, ensuring accuracy in all tasks and communications.
- Interpersonal Skills: Strong interpersonal skills with the ability to collaborate effectively with individuals at all levels.
- Bonus: Knowledge of the fintech industry or financial services is a plus.
