The contracts coordinator plays a key part in accelerating our business success by ensuring the seamless setup of projects, maintaining accurate and accessible contract records, and supporting timely execution of agreements and amendments. With a focus on precision, efficiency, and partnership, this position supports the Sales & Contracts Director to create the operational clarity and momentum that empowers our team to move forward with confidence.
WHAT YOU'LL DO
  • Assist the Contracts Management Director with proposals and contracts as directed.
  • Facilitate project set up by receiving and entering all new job requests, creating files, and generating proposal numbers in applicable software database.
  • Assist with coordination of area take-offs for Design Labor Proposals and FFE plan take-off entry for generating the FFE Proposal.
  • Construct approved project contracts and amendments into applicable software database.
  • Create tracking reporting report and file for approved project contracts and amendments.
  • Track contract timelines and expirations; follow up with internal teams and clients as needed to ensure timely renewals or amendments.
  • Assist in coordination with accounts receivable to issue commencement invoices.
  • Assist with research and/or negotiate product, freight and labor costs associated with preparation of contracts.
  • Coordinate with legal/risk management as needed on contract language, insurance requirements, and compliance documentation
  • Maintain accurate and up-to-date digital filing systems for contracts and amendments.
  • Manage and maintain client contact list in Studio WebWare, Ajera and/or other company platforms.
  • Provide backup for receptionist as needed.
  • All other duties as assigned
WHAT YOU BRING
  • Associate or Bachelor’s degree in Interior Design, Finance, or Business from an accredited institution preferred.
  • Minimum of 2 years or related experience in estimating, preferably in the design and architecture industry.
  • Must have the ability to read plans/construction drawings.
  • Familiarity with design phases (SD/DD/CD/FFE) – since this is an interior design firm, even basic understanding could be valuable.
  • Basic understanding of accounting terminology and processes.
  • Highly proficient in MS Office Suite (Excel, Word, PowerPoint)
  • Proficient in accounting software, preferably in Quickbooks, Studio Designer and Ajera.
  • Knowledge of construction and Interior Design with both new construction and major renovation projects a plus.
