- Ensure all conference milestones and deadlines are met to guarantee a successful event.
- Collaborate with content creators and speakers to assist in the development and scheduling of conference sessions and activities.
- Communicate event details, updates, and logistics to participants, speakers, and sponsors.
- Provide excellent customer service to address inquiries and concerns promptly.
- Build and maintain strong relationships with clients, addressing their concerns and ensuring their expectations are met.
- Utilize software and technology tools for speaker management, content management, data collection, and logistics organization.
- Liaise with support teams on conference programming (i.e. marketing, registration, ops)
- Coordinate with internal and external stakeholders to gather event requirements and specifications.
- Assist in arrangement and management of venue logistics, catering, audiovisual equipment, signage, and other event-related services.
- Oversee on-site event management, including setup and coordination of staff and temps.
- Troubleshoot and address any issues that may arise during the conference.
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
- Prepare and present comprehensive event reports to assess the success of conferences.
- Continuously develop event planning skills and stay informed about industry trends.
- Additional help with special projects as needed.
- Bachelor's degree in Event Management, Hospitality, or a related field.
- Proven experience in conference coordination or event planning.
- Strong organizational and project management skills.
- Excellent communication and interpersonal abilities.
- Proficient in using event management software and tools.
- Ability to work well under pressure and adapt to changing priorities.
- Attention to detail and a proactive problem-solving mindset.
- Competitive base salary dependent upon experience
