The Administrative Assistant role provides administrative support in all facets of the daily business routine for a Staff Coordinator while working in a fast-paced environment.

\t * A detailed-oriented, self-starter that is comfortable handling decisions
\t * Experienced at anticipating problems and your executives’ ever-changing needs
\t * Experienced at handling multiple requests autonomously
\t * An effective communicator that interfaces effectively with all others
\t * Comfortable working in a nimble and versatile environment
Your key responsibilities
\t * Manage the executives’ calendars, schedule all internal and external meetings, and setup video and audio conferencing when required
\t * Coordinate travel arrangements point-to-point and associated logistics
\t * Prepare, review, and submit expense reports
\t * Accurately processing expense and mileage reports with timely submission
\t * Maintain an overall awareness of the executives’ business activities, anticipate the needs that are associated with each meeting / event, and preempt the needs of other parties involved in the executive’s meetings
\t * Project management to include but not limited to compiling special reports, presentations, and organization charts
\t * Prepare executives for daily calendar and activities including prioritization of meetings, advising on potential calendar/ event/ corporate issues, and preparing all necessary documents and meeting materials
\t * Represent executives to other senior officials both within and outside the organization in a positive and professional manner
\t * Answer incoming calls; determine purpose of callers and ‘gate keep’ for executives as necessary
\t * Protect operations by keeping information confidential and routed to only appropriate areas
\t * High School Diploma (Required)
\t * 5+ years related work experience preferred
\t * Self-motivated, team player with desire to drive to learn and grow
\t * Operate efficiently, learn and adapt quickly
\t * Outstanding interpersonal and communication skills, both verbal and written
\t * Excellent prioritization and organizational skills
\t * Problem-solver with sound business judgment
\t * Collaborate effectively with all team members
\t * Forward thinker with proactive mindset and attention to detail
\t * Tech savvy – proficient with Microsoft Office Suite (PowerPoint, Excel, Outlook)
\t * Ability to navigate across broader organization
\t * Follows directions thoroughly and maintains confidentiality of any company sensitive information
