Learn more atProject Coordinator/Inside SalesCommercial HVAC material supplier in Orlando, FL has an immediate opening for an Project Coordinator/Inside Sales Assistant to provide inside technical support. Our goal is to effectively promote sales of HVAC equipment in the commercial construction market and to deliver unparalleled service to our customers. Day-to-day tasks would include assisting Outside Sales Engineers to provide timely estimates of HVAC material, after-sale project management and exceptional customer support. Hands-on training is provided.JOB SUMMARY: This position will assist Outside Sales Engineers with estimating, project management and customer service to an extensive customer account list.ESSENTIAL FUNCTIONS
  • Comprehension of construction plans and specifications: ability to do material take-offs, select material on core products based on specifications, price material using manufacturer software, write a quotation to distribute to customer.
  • Post-sale job management: ability to book a job, set up and manage a job file; understand the submittal process, order entry with factories and warehouse, complete the electronic billing sheet; expedite orders; process freight claims; process factory invoices and stock sales.
  • Relationship building with customers and factory personnel; liaison for Outside Sales Engineer
  • Interactive communication with Outside Sales Engineer, factory representatives and customer personnel to facilitate meeting project deadlines and customer needs
  • Multi-tasking and prioritizing daily tasks to provide unparalleled customer service
  • Take-off material from mechanical drawings using OST, understanding the importance of drawing notes/details.
  • Select material and equipment on core products, based on specifications and schedules
  • Price take-offs using manufacturer pricing software/data
  • Write a scope letter/quotation for distribution to customer(s)
  • Assist the Quotation Department with quoting jobs
  • Mentor quote jobs when needed
  • Book a job, set up and manage a job file (manual/electronic) including proper documentation of notes & correspondence
  • Understand freight claims; how to deal with damaged or shorted shipments
  • Process factory invoices/billing to customers
  • Process stock sales
  • Understand credit application process
  • Process credit card transactions/ forward order(s) as needed
  • Build professional relationships with customers & factory personnel; be a liaison for Outside Sales
  • Execute responsibilities with speed, accuracy and efficiency
  • Perform timely intial review of plans and specification and send to approprate factories for quotes
  • Submit Prior Approval requests, in a timely manner
  • Maintain and coordinate branch bid list

Learn more atQualificationsEducation Engineering degree, ME preferred, or Building Construction degree or comparable industry experience.Experience Proven inside sales experience/project coordination experience, preferably 3 to 5 years experience working with commercial HVAC productsOther skills -
  • Effective organizational skills: current projects may number from thirty to one hundred fifty jobs at different stages of development
  • Technical aptitude and product knowledge: the ability to offer pre-sale and post-sale support
  • Computer skills: Microsoft Windows environment software used for selection, pricing, quoting, submittals, ordering, expediting shipment, billing, communicating with factories and customers
  • Problem Solving skills: ability to creatively address problem issues to point of resolution which might include application, delivery and installation issues
  • Stress management skills: multitasking with constantly changing priorities in an industry with many deadlines; handling a large number of active projects at different stages of completion.
