DUTIES:
  • Administer weekly Production Dept. staff and facilities scheduling. Includes scheduling IATSE Stagecraft, Director, AD and Material Management staff. Update schedules daily as required and digitally generate and post via Microsoft Teams.
  • Administer production staff scheduling on Special Event productions including Rose Parade, Oscars, Emmys, CCA, LA Marathon, WeHo Pride Parade, Telethons and more.
  • Organize and update Production Dept. financial retention files including all vendor invoices and P-Card transactions.
  • Process COI and Insurance Endorsement requests from Production Dept. vendors and business partners.
  • Onboard new hires. Provide instruction on Workday and Microsoft Teams, assist with Human Resources paperwork, coordinate Employee ID, Microsoft login, Security badge, etc.
  • Special Events production archives. Document and organize digital video assets for Rose Parade, Oscars, CCA, Emmys, LA Marathon, WeHo Pride Parade, and other Special Event productions.
  • Production studio operations and office supplies inventory. Track inventory and order studio production operations and maintenance supplies monthly. Manage shipping and receiving logistics.
  • Supervise all aspects of daily Makeup services and operations. Supervise News anchor makeup services schedule. Monitor News anchor cosmetics inventory, and generate weekly orders and deliveries as required.
  • Provide daily administrative support as required to the Production Manager and Director of Production.
REQUIREMENTS:
  • Bachelor’s degree in film, television, communications, marketing, management, or related field
  • Must have experience in live television, scheduling, production, or related field, preferably Production Coordinator experience.
  • Internship experience at television stations or production companies are an asset.
  • Must be extremely proficient in administrative tasks and on a PC - Microsoft Excel, Outlook, Word and OneDrive are musts.
  • Ability to multitask in a fast-paced work environment. Attention to detail and ability to rapidly prioritize daily tasks and administrative responsibilities.
  • Familiarity with all aspects of studio and remote production operations, and effective and concise communication.
  • Superb organizational and time management skills.
  • Capable of meeting deadlines and working with daily time constraints
  • Engage with employees and clients in a positive and collaborative manner.
  • Prompt and informed decision making based on anticipating needs.
  • Professional judgment for handling confidential information
  • Excellent written and verbal communications; professional telephone etiquette
  • The ability to manage sensitive and confidential information with discretion.
  • Must be able to accommodate a flexible work schedule.
  • Previous experience supporting a production scheduling office is preferred.
  • Must be detail oriented.
