We are thrilled with your interest in joining our crew!We are seeking a Senior Agency Operations Manager to join our team at SPCSHP. This role will be responsible for supporting our Managing Director, Delivery & Operations in managing agency-wide operations, including but not limited to NY Office facilities, IT, and administrative functions. The ideal candidate will have a strong operational background, excellent problem-solving skills, and the ability to work collaboratively with cross-functional teams.Roles + Responsibilities:
  • Acting as the primary point person for all office management duties in our NY HQ. You will coordinate in-person and virtual events, as well as own communication with building management.
  • Overseeing all of our platforms and subscriptions, ensuring all accounts are up-to-date, managing user access, troubleshooting any issues and quarterly audit/assessments to ensure we are best in class with our operational toolkit.
  • Managing and maintaining our G Drive and distribution lists, organizing files, managing user access, and ensuring all information is up-to-date and easily accessible.
  • Documenting (and consistently optimizing as needed) our tools, subscriptions, and ways of working, including creating and updating manuals, guides, and procedures.
  • Becoming an expert in our agency platforms, such as Monday.com, understanding all features and functionalities, training staff, and acting as a point of contact for any questions or issues.
  • Leading on our template gallery and templates in general, including creating, updating, and managing all templates, and ensuring they are easily accessible and user-friendly.
  • Supporting the Managing Director with the partnership with IT, coordinating with IT for any technical needs, troubleshooting issues, and ensuring a smooth onboarding process for new hires in collaboration with the People & Culture team.
  • Developing and implementing operational policies and procedures.
  • Managing relationships with vendors and service providers, ensuring that all items are invoices and paid on time.
  • Overseeing operational budgets and managing resources effectively.
  • Provide support of the processing and reconciliation of internal and external agency expenses.
  • Identifying opportunities for process and office management improvements, and designing and implementing new systems.
  • Providing support for all teams within the organization, and liaising with team leaders to ensure operational efficiency.
Requirements
  • 5+ years of proven experience in operations management or a similar role within an agency environment
  • 2-3x a week in office at NY HQ
  • Strong knowledge of office procedures and budget management principles
  • Excellent organizational and leadership skills
  • Outstanding communication and interpersonal abilities
  • Proficiency in MS Office and G Suite (Figma is a bonus)
  • Familiarity with Monday.com or similar project management tools
  • Ability to manage and prioritize tasks
The salary band for this role is $90,000 - $120,000. Where a prospective new hire's base salary will fall within this band depends on several factors including their qualifications and experience, the skill level required in the role, market rates, location and the salaries of existing crew members at SPCSHP within the same role to maintain equity.
