- Maintain sufficient inventory of office supplies & consumables
- Answer incoming phone calls received on the office lines
- Prepare items to ship FedEx, UPS, USPS, Certified Mail, etc.
- Open, date stamp and appropriately handle incoming mail, packages
- Make local pickup and delivery with a Company vehicle, when directed
- Process invoices, contracts, insurance certificates, insurance claims, time cards, etc. (training will be provided)
- Experience with Viewpoint Vista software is a plus
- Experience printing drawings, specifications, addendums, etc.
- Performed the following tasks: scanning quotes, updating logs, maintenance in vendor databases
- Experience with estimating and the bid process
- Experience calling subcontractors and vendors
- Experience with solicitation software such as SmartBid or iSqft is a plus
- Experience with MWDBE and Good Faith Efforts are a plus
- Experience with Bluebeam software is a plus
- Experience with HCSS, HeavyBid software is a plus
- High School Diploma or GED and 5 years related experience providing administrative support in the construction industry
- Proficient knowledge & use of Microsoft Computer software
- Current Driver’s license
- Organized individual with strong interpersonal and communication skills.
