SUMMARY:
This position is responsible for coordinating and validating that all required documents for import/export transactions are provided by all parties in a timely manner to the international order management team, and to the import/export customs broker. The Drayage and International Documentation Coordinator ensures that international shipments in the import/export process for F9 Operations are handled quickly, safely, accurately, and within the established timelines and budgeted expectations. This also includes oversight of scheduled international orders (Inbound and outbound), close coordination with drayage companies, rail/port/container yard operations personnel.
This position reports to the VP of Global Logistics for an initial interim period and will then report to the International Shipping Manager.
This job is located at Franklin, TN, it is an on-site job, Full-Time - 40 hours a week, some weekend coverage/on-call maybe required.
PRIMARY RESPONSIBILITIES:
Coordinate and schedule drayage shipments from ports and rail ramps to customer locations or warehouses.
Monitor containers availability, free time, and last free day to avoid demurrage and detention charges.
Work closely with Distribution Centers to monitor the on-time return of empty equipment to the designated locations within the “free time” to avoid detention charges.
Communicate with port terminals, steamship lines, and trucking partners to ensure timely pickups and deliveries.
Track and trace shipments, providing real-time updates to internal teams and customers.
Prepare and manage documentation including delivery orders, bills of lading, and customs paperwork.
Maintain accurate records in the (ACS)-International Order Management system and the (DO system) --Final Mile Delivery Order system.
Resolve service issues, delays, and equipment shortages with a sense of urgency.
Collaborate with International Shipping Manager, Trade Compliance, Import/Export Broker, warehouse, and billing departments to ensure seamless operation.
Build strong relationships with Drayage teams (internal and external).
Work closely with the International Shipping Manager for all anomalies, for quick resolutions of documentation or drayage delays.
Work with Sr. Logistics Analyst to set up programs to monitor and evaluate all drayage freight bills and oversee activity to accurately audit, reconcile and provide weekly reports for final approval to the VP of Global Logistics then submit to AP for payment.
Maintain a claims freight filing process and execution strategy to recoup funds and
give detailed reports monthly, showing gap analysis and root causes to the VP of Global Logistics. for any Drayage personnel non-performance, special needs/requirements or additional drayman support.
EDUCATION/EXPERIENCE:
High school graduate, 2-year degree is preferred but not required and/or equivalent experience.
Minimum of 3 - 5 years’ experience in Inbound Container Drayage and Import/Export Documentation Coordination.
Strong knowledge of port and rail operations, container tracking, and drayage logistics.
Proficiency in Microsoft Office and transportation/order management systems.
Excellent communication, organizational, and problem-solving skills.
Ability to work in a fast-paced environment and manage multiple priorities.
Ability to build strong relationships among internal/external parties involved in the drayage and final documentation processes.
Strong and clear communication skills.
