- High School Diploma or equivalent. Associate's degree or higher in business administration, accounting, or a related field preferred.
- Experience as an administrative or bookkeeping assistant or an associate's degree in accounting or business administration.
- Proven proficiency in Microsoft Office Suite, Google Workspace, and other office software applications.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
- Basic knowledge of bookkeeping, inventory management, purchasing procedures, and accounting principles.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to exercise sound judgment, maintain confidentiality, and work independently.
- Creative problem-solving skills and adaptability in a dynamic environment

- Regular and punctual attendance required.
- Provide comprehensive administrative support to the Chief Academic Officer, including scheduling, calendar management, correspondence, and meeting coordination.
- Perform secretarial duties such as drafting letters, memos, reports, presentations, and maintaining accurate records and files.
- Maintain and monitor department budgets, purchase orders, invoices, and payments; apply basic accounting principles to bookkeeping and purchasing functions.
- Track inventory and order supplies and instructional materials as needed, ensuring compliance with district purchasing procedures.
- Coordinate and support internal and external communications for the CAO and academic leadership team.
- Assist in organizing events, trainings, and professional development sessions, including preparation of materials and logistics.
- Compile and manage data for reports, audits, and compliance documentation.
- Handle confidential information with professionalism and discretion.
- Provide exceptional customer service and act as a liaison between the academic office and other departments, schools, and stakeholders.
