  • High School Diploma or equivalent. Associate's degree or higher in business administration, accounting, or a related field preferred.
  • Experience as an administrative or bookkeeping assistant or an associate's degree in accounting or business administration.
  • Proven proficiency in Microsoft Office Suite, Google Workspace, and other office software applications.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
  • Basic knowledge of bookkeeping, inventory management, purchasing procedures, and accounting principles.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to exercise sound judgment, maintain confidentiality, and work independently.
  • Creative problem-solving skills and adaptability in a dynamic environment
  • Professional demeanor and strong interpersonal skills for working with diverse stakeholders.

REPORTS TO: Chief Academic Officer (CAO)JOB GOALS: To assist in the administration and efficient operation of the Curriculum and Instruction Department.ESSENTIAL FUNCTIONS: * Expected work day: Eight hours.
  • Regular and punctual attendance required.
  • Provide comprehensive administrative support to the Chief Academic Officer, including scheduling, calendar management, correspondence, and meeting coordination.
  • Perform secretarial duties such as drafting letters, memos, reports, presentations, and maintaining accurate records and files.
  • Maintain and monitor department budgets, purchase orders, invoices, and payments; apply basic accounting principles to bookkeeping and purchasing functions.
  • Track inventory and order supplies and instructional materials as needed, ensuring compliance with district purchasing procedures.
  • Coordinate and support internal and external communications for the CAO and academic leadership team.
  • Assist in organizing events, trainings, and professional development sessions, including preparation of materials and logistics.
  • Compile and manage data for reports, audits, and compliance documentation.
  • Handle confidential information with professionalism and discretion.
  • Provide exceptional customer service and act as a liaison between the academic office and other departments, schools, and stakeholders.
MARGINAL FUNCTION: Any reasonable office related tasks assigned by supervisor.EVALUATION: Performance will be evaluated in accordance with the support personnel evaluation system and Board policy.TERMS OF EMPLOYMENT: 12-months/240 days (non-exempt)
