We bring together people across sectors to explore nature, arts, justice, community, and faith at the SANAA-designed River building, situated on 80 acres of natural landscapes. Our humanitarian work to end modern slavery and foster more grace and peace in our local and global communities includes leading the Design for Freedom movement to eliminate forced labor in the building materials supply chain.The Role:Grace Farms Foundation is seeking a highly organized and guest-focused Group Reservation Coordinator. This role is pivotal in managing group bookings for school field trips and private architectural tours, while also playing a key role in the administration and quality control of Grace Farms' ticketing systems. The Group Reservation Coordinator ensures seamless booking, guest communication, and onsite registration aligned with the organization's mission and guest experience standards.Responsibilities:Group Reservations & Guest Coordination:
  • Coordinate and manage all group booking requests, including school visits, private architectural tours, and event-based group ticket sales.
  • Serve as the primary point of contact for educators, nonprofit organizers, and private groups from initial inquiry to post-visit follow-up.
  • Collaborate closely with the Education, Visitor Experience, Events, Culinary and other Operations teams to support guest experience and logistical requirements for group visits.
Ticketing System & Website Integration:
  • Working closely with the Marketing team, helps manage the back-end of the Ticketure ticketing system, ensuring accuracy of tour and program listings, inventory, prices, descriptions and availability reflected on the website.
  • Update event and tour descriptions, capacity limits, time slots, and registration forms as needed in Ticketure.
  • Coordinate closely with Marketing and Communications to ensure consistency and accuracy of information across digital platforms.
Guest Services & Technical Support:
  • Respond to specific guest inquiries related to ticketing, group reservations, or special requests with professionalism, kindness and clarity.
  • Troubleshoot and resolve ticketing issues in collaboration with Marketing, Visitor Experience and IT Teams as needed
  • Serve as a liaison between Visitor Experience staff and the ticketing system to ensure accurate information and reporting.
Event Support & Onsite Registration:
  • Oversee onsite registration logistics for select public events, tours, and high-volume days.
  • Assists with the preparation of registration materials, signage, and guest lists; coordinate check-in procedures and welcome protocols.
  • Provide guest services support as needed during events to ensure a mission-aligned and hospitable experience.
Reporting & Data Management:
  • Track and report on group visit attendance, ticketing data, and guest feedback using Ticketure and internal reporting tools.
  • Maintain accurate records of bookings, revenue, attendance, and system updates for internal use.
  • Drafts the weekly tour and group visit report with the Director of Education for distribution to the Senior Leadership Team.
Other duties as assigned.Skills/Abilities:
  • Exceptionally strong communication skills, both written and verbal, with an emphasis on guest relations, hospitality and clear information sharing in a timely manner.
  • Highly organized with exceptional attention to detail and the ability to manage multiple timelines and priorities simultaneously.
  • Team-oriented with the ability to collaborate across departments while working independently.
  • Familiarity and high degree of comfort working with ticketing, CRM, and scheduling/reservations software; experience using Ticketure or with similar ticketing/reservations systems is a plus.
  • Comfortable working in a collaborative, fast-paced, and evolving setting with varying levels of complexity.
  • Interest in architecture, public engagement, or mission-driven programming is a plus.
  • Generally, a Tuesday - Saturday position. This position is primarily onsite at Grace Farms in New Canaan, CT. Occasional early morning, evening, or weekend hours may be required to support group visits and public programs.
Education & Experience:
  • Associate's or Bachelor's degree preferred, with 2+ years of relevant experience in reservations, ticketing, visitor services, or nonprofit hospitality.
  • Prior experience working with a ticketing or CRM system; experience with Ticketure or similar platforms is strongly preferred.
  • Experience working in mission-driven, nonprofit, arts, or cultural environments strongly preferred.
Physical Requirements:
  • Ability to perform sedentary work involving prolonged periods, including frequent and repetitive use of a computer use, keyboard, mouse, and visual focus on digital screens.
  • Must be able to lift and carry materials and/or equipment up to 20 pounds.
  • Ability to stand and walk for extended periods, particularly during on-site events, tours, and high-volume visitation days.
  • Must be able to navigate indoor and outdoor environments, including stairs, uneven terrain, and various weather conditions.
  • Occasional physical setup and breakdown of registration areas or guest service stations may be required.
