- Uses Lean principles in work processes. Serve as resource for administrative staff working to ensure a highly competent, professional, and effective organization.
- Prioritizes, tracks, manages, and organizes projects efficiently to accomplish goals set by the leadership of Women’s and Children’s service lines and the organization.
- Communicates effectively in both written and verbal forms to ensure all needs are addressed.
- Maintain customer service skills to ensure clear communications between departments and external contacts.
- Serve as a resource and support for Women’s and Children’s Medical Directors, Clinical Director, Managers and Women’s and Children’s staff.
- Support daily operations of the Neonatal Intensive Care Unit.
- Oversee the Neurodevelopmental Clinic Program. Coordinate all aspects of the program, from patient intake to documenting treatment plan and follow-up. Work closely with physicians and occupational therapist to prepare patient evaluation reports.
- Manage all aspects of successful planning, administration, and execution of childbirth education classes held in-person and virtually. Responsible for maintaining/updating presentations, coordinating schedule and content with instructors, and overseeing the overall operation of the program – which includes managing the registration process in the Event Registration Management system.
- Responsible for managing all aspects of the Donor Breast Milk Program, which includes policies, ordering of donor breast milk, maintaining accurate records and documentation of donor milk usage, and annual renewal of Tissue Bank License.
- Support the Lactation Department and oversee outpatient lactation services.
- Data collection and analysis to support Women’s and Children’s service line performance improvement initiatives.
- Familiarity with medical terminology

- 1-year experience working in an Acute Care Hospital setter preferred
- Minimum 2 years of administrative assistant experience required
- Familiarity with medical terminology
- Computer literate in spreadsheets, word processing, graphic and managing network files/documents.
- Proficient in EMR, Outlook and Microsoft Office Suite (Word, Excel, PowerPoint)
- Associate degree or higher in Computer Science, Business Administration, or another related field preferred
