Silicon Valley International School is seeking a full-time accounts payable (AP) specialist to join our finance team to help process, track, and record payments in an accurate, efficient, and timely manner. This individual will play a key role in the financial functions of the school, supporting the Controller. This individual will be someone who is detail-oriented, takes the initiative, has a can-do attitude, and is a team player.Our school is delighted to present a comprehensive salary and benefits package that is both competitive and attractive. The salary range for the present position ranges from $31.00 to $35.00 per hour. The final salary package is contingent on the individual's skill set, experience, and educational qualifications. This position requires the individual to be present on-site from Monday through Friday.It is a prerequisite that all potential candidates have received full vaccination against COVID-19. However, the school is willing to consider exceptions on the grounds of medical or religious beliefs. In such cases, we require that the individuals provide us with valid and appropriate documentation to support their request for exemption.Responsibilities:
  • Assemble, review, and verify invoices and payment requests
  • Request and review W-9 forms from new vendors
  • Flag and clarify any questionable invoice terms or pricing issues
  • Match POs, packing slips, and supporting documentation with invoices
  • Coordinate with various departments to obtain approval for payment
  • Code invoices and payment requests
  • Scan and upload invoices into the accounting system
  • Perform weekly check runs
  • Enter weekly electronic transfers and payments
  • Monitor all vendor accounts to ensure payments are current and up-to-date
  • Maintain vendor files
  • Track use tax and assist Controller with quarterly filings
  • Identify vendor 1099 status and transactions and responsible for annual 1099 filings
  • Manage all 80+ PEX cards and 15+ credit cards to ensure receipts are provided timely for month-end close; charges are allowable per school policy, and coding of transactions
  • Other duties as assigned by the Controller
Qualifications:
  • Bachelor’s degree in business, with an emphasis in accounting or finance
  • 3 to 5 years of accounting experience
  • Nonprofit accounting experience is preferred but not necessary
Required Skills, Knowledge, and Abilities:
  • Strong mathematical skills
  • Solid understanding of basic bookkeeping and accounts payable principles
  • A high degree of accuracy and attention to detail
  • Strong verbal and written communication skills
  • Ability to work in a diverse, multicultural environment
  • Ability to handle deadlines in an efficient and accurate manner
  • Self-starter with a can-do attitude
  • Works well independently yet understands the benefits of collaboration
  • Proficient in MS Office, Google Suites, and Mac OS systems; comfortable with technology or demonstrated ability to learn quickly
  • Experience with Sage Intacct is preferred
