Position Overview:The Intake and Enrollment Specialist is critical in facilitating patient access to a full range of healthcare services, including Medical, Case management, Dental, and Behavioral health, by managing the initial intake eligibility verification and enrollment processes. Serving as the first point of contact for prospective and existing patients, this position ensures a welcoming, efficient, and professional experience.The specialist collects and reviews necessary documentation, determines service eligibility, and coordinates referrals or appointments with internal departments such as case management, dental, therapy, and behavioral health teams.Duties and Responsibilities
  • Assist individuals seeking services by completing registration and enrollment procedures.
  • Deliver excellent customer service to all individuals, including patients, visitors, and community partners.
  • Accurately and promptly enter patient data into the clinic's Electronic Health Record (EHR), ensuring the information is current and complete.
  • Support administrative tasks such as handling mail, door screening, and board tracker.
  • Answer incoming calls, respond to inquiries, and schedule appointments promptly and courteously.
  • Provide accurate, impartial, and culturally sensitive information regarding clinic services and insurance options.
  • Screen and educate patients about affordable health insurance programs; guide them in accessing enrollment assistance when needed.
  • Verify patients' health insurance coverage, and when possible, confirm insurance status before check-in.
  • Provide clinic information, add patients to waitlists, offer appointment reminders, and answer related questions to assist patients in accessing services.
  • Monitor the waiting area to maintain a welcoming and orderly environment; notify staff of any issues or concerns as they arise.
  • Ensure all required intake documents, including new patient and annual packets, are scanned adequately into the EHR.
  • Participate in training sessions and professional development activities to enhance the job.
Qualifications & Competencies
  • High School Diploma
  • 2-3 years or more of customer service, administrative, or front desk experience
  • Knowledge of the Microsoft Office Suite and general computer proficiency
  • Experience with or knowledge of electronic medical records systems, or any experience in a medical office
  • Preferably Spanish-speaking, but not required
Physical Demands
  • Essential physical requirement: Able to lift to 50 lbs. Other physical movements include pushing, balancing, stooping, flexing, twisting, sitting, speaking, far vision, and near vision.
  • Extended hours in front of a computer monitor and on the telephone.
