Reporting directly to the Office Manager, the ideal candidate will possess strong administrative skills, attention to detail, and a commitment to maintaining confidentiality. This role is crucial in ensuring the efficient operation of our HR and Accounting departments, contributing to the overall success of our organization.Responsibilities:Human Resources: * Assist in recruitment by posting job openings, screening resumes, and scheduling interviews.
  • Maintain accurate and up-to-date employee records, including personal information, attendance, and performance evaluations.
  • Coordinate employee onboarding activities, including new hire orientation and paperwork processing.
  • Assist in administering employee benefits programs and handling employee inquiries regarding benefits and policies.
  • Support HR initiatives such as training programs, performance evaluations, and employee engagement activities.
  • Ensure compliance with federal, state, and local employment laws and regulations.
  • Handle confidential HR-related matters with discretion and professionalism.
Accounting: * Assist with accounts payable and accounts receivable tasks, including invoice processing and payment tracking.
  • Reconcile financial statements and assist in preparing financial reports for management review.
  • Maintain accurate financial records and documentation in accordance with accounting principles.
  • Assist in budget preparation and expense tracking, ensuring adherence to budgetary guidelines.
  • Support audit and tax preparation processes by providing relevant documentation and assistance as needed.
  • Collaborate with the Office Manager and Accounting team to resolve any discrepancies or issues in financial records.
  • Ensure compliance with accounting policies and procedures.
General Administrative Support: * Provide general administrative support to the Office Manager and other team members as needed.
  • Answer phone calls, respond to inquiries, and direct visitors as appropriate.
  • Assist in organizing meetings, events, and training sessions.
  • Maintain cleanliness and organization of office space.
Requirements: * Proven experience as an Administrative Assistant, preferably in HR and/or Accounting roles.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with HRIS and accounting software.
  • Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in work.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A bachelor's degree in business administration, Human Resources, Accounting, or a related field is preferred but not required.
