The Assistant to the Athletic Director supports the Parish and School Catholic Youth Organization (CYO) Athletic Program through administrative and organizational assistance. This role plays a key part in ensuring the smooth operation of the athletic program by maintaining accurate schedules, managing records, supporting communication, and coordinating logistics. The Assistant works closely with the Athletic Director, coaches, volunteers, and families to provide a well-organized, faith-centered experience for student-athletes in grades 3-8.Key Responsibilities1. Scheduling & Calendar Support * Assist with scheduling practices, games, tournaments, and facilities.
  • Review all scheduled events to identify and resolve conflicts or errors.
  • Ensure alignment between athletic events and Parish/School master calendars.
  • Distribute updated schedules and changes to coaches, families, and staff.
2. Administrative & Clerical Support * Provide administrative support to the Athletic Director including phone calls, emails, document preparation, and record keeping.
  • Maintain accurate records of player registration, eligibility, forms, and medical information.
  • Organize and update files for teams, coaches, and volunteers.
  • Track and manage equipment, uniform, and supply inventories.
3. Communication & Coordination * Assist in sending out regular communications to parents, coaches, and school staff regarding athletic events, schedule changes, and reminders.
  • Help prepare agendas and materials for coach meetings and trainings.
  • Respond to general inquiries related to the athletic program and direct more complex issues to the Athletic Director.
4. Volunteer & Coach Support * Maintain lists of coaches and volunteers; assist in collecting necessary certifications (e.g., CPR, First Aid, Protecting God's Children).
  • Support logistics for coach training sessions, meetings, and seasonal orientations.
5. Event Assistance * Help coordinate logistics for home games, tournaments, and special events such as the CYO Prep Bowl.
  • Assist in preparing event materials such as score sheets, rosters, and signage.
  • Provide on-site support during major athletic events (optional or as needed).
6. Parish and Catholic Identity * Uphold and model the values of Catholic education and ensure that communication and conduct reflect the mission of the Parish and School.
  • Support the coordination of team participation in Parish Masses or Catholic events.
Qualifications
  • High School diploma required; some college or relevant coursework preferred.
  • Prior administrative or scheduling experience, especially in athletics or education, is highly desirable.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Google Workspace, Microsoft Office, and scheduling software.
  • Ability to maintain confidentiality and exercise sound judgment.
  • A practicing Catholic is preferred or someone supportive of Catholic teachings and mission.
Working Conditions
  • Office-based with occasional after-hours or weekend responsibilities during athletic seasons.
  • Must be able to sit, stand, and lift light equipment (up to 35 lbs) as needed.
